What are the responsibilities and job description for the Staffing Coordinator/Recruiter position at Spring Hills Communities?
Position Summary: The dual role of recruiter and staffing coordinator will be responsible for posting open jobs, interviewing, on-boarding and hiring of caregivers and nurses; overseeing daily/weekly staffing activities and ongoing supervision of caregivers to ensure quality care is delivered per client care plans. Oversee recruitment and staffing process from start to finish; from orienting and hiring caregivers to the proper placement of that care staff to homes and facilities as well as ensuring care needs, staffing and scheduling needs are met on an ongoing basis. Performs various supervisory activities for scheduling appropriate caregivers to clients, manage high telephone and email volume on a daily basis, ability to answer email and phone calls after office hours and other duties as necessary. Reports to the Director of Operations/Business Operations Manager.
Essential Functions:
- Attends work as scheduled and follows community’s call-off
- Recruit, interview, hire, evaluate, and terminate personnel in accordance to company
- Answer all incoming calls and direct calls to the proper personnel
- Proper on-boarding and training of recruited staff
- Provide in-take discovery to ascertain specific needs of care staff clients
- Use best judgment in assigning care personnel to the appropriate clients based on needs and preferences
- Understand the specific needs of the client and assign the appropriate care givers within a 24 hour period
- Document all pertinent information, as well as scheduled tasks on client records (Smartcare)
- File and maintain all documents Distribute documents to the appropriate staff member for approval or completion
- Maintain up to date available caregiver lists for expediency in recruiting/staffing
- Maintain schedule in accurate and legible form
- Share on-call responsibilities – see below
- Communicate with contract agencies regarding schedules, evaluation of staff
- Assist in grievance/complaint resolutions
- Relay client care concerns and changes in condition to the Director of Home Care Services
- Implement new policies and procedures as directed
- Comply with applicable governmental laws and regulations
- Complete projects assigned by the Director of Home Care Services / Business Office Manager
- Assists in the Manager on Duty (MOD) rotation (see below)
Recruiter Qualifications/Skills:
- Recruiting and interviewing skills
- Phone, Skype, Zoom and online meeting platform skills
- Supports workplace diversity

- Professionalism, organization, and time management skills
MOD/On-Call Responsibilities:
- Be involved in the On-Call rotation after business hours and on weekends
- Answer incoming calls promptly and efficiently. Expected average response time is 10-15 minutes
- Promptly communicate issues/concerns/action taken to Director or RN Supervisor
- Complete and maintain On Call report on a daily basis
- Review On Call report with appropriate personnel weekly/daily as needed
Non-Essential Functions:
- Attends all required training, in-services, and staff

- Assist the team in achieving established revenue targets

- Maintaining QA Audits 100% (Quarterly)
- Maintain caregiver overtime hours below 2% each payroll period
- Assist in client/facility new opens to determine appropriate care staff
- Conduct a minimum of 5 weekly caregiver retention visits using the Caregiver Service Coordination form
- Conduct a minimum of 5 weekly client retention visits using the Client Service Coordination form
- Achieve & Maintain a caregiver to client ratio of 3:1
- Achieve a minimum of 5 new hires on a weekly basis
- Monthly recruitment/job fairs/school visits/caregiver newsletter
- Assist in expanding Service Amenity usage to 70% minimum
