Overview
To provide direct support to the outpatient psychiatric and medication assisted treatment (MAT) service providers.
Primary Duties and Responsibilities
- To work cohesively and provide clerical support for providers
- Perform work duties in a pleasant and efficient manner
- Ensuring the medical clinic is open and prepared to serve clients by posted office hours.
- Coordination with psychiatric RN for scheduling of new referrals for medication
- management and MAT services
- Ordering of medication and supplies, tracking and storage, etc.
- Direct support for RN and nurse practitioner staff
- Greet and assist clients, verifying personal information and insurance details
- Schedule appointments and manage the clinicians' calendars efficiently
- Process payments, including co-payments.
- Maintain accurate and up-to-date client records using Electronic Health Records systems
- Handle phone inquiries and direct calls to appropriate departments
- Manage appointment changes, cancellations, and no-shows according to established procedures
- Coordinate client referrals and verify eligibility for services
- Maintain a clean and welcoming reception area
- Collaborate with clinical and nursing staff to ensure smooth office operations
- Participate in quality improvement initiatives and service monitoring programs
- Handle potentially stressful client encounters with professionalism and empathy
- Assist with prior authorizations as needed for client medication management
- Assist with providing tracking, oversight, and maintenance of the Patient Assistance Program
- Occasionally assist in clinic with updating client medical records, taking client vitals and rooming client.
- Recognize and demonstrate sensitivity to cultural and ethnic differences.
- Demonstrate exceptional interpersonal skills and the ability to work with persons with severe mental illness and/or serious emotional disturbance, and the ability to react effectively in a wide variety of human service situations.
- Build client relationships, as well as business relationships and strategic partnerships with other agencies and external resources.
- Interact positively with other members of the agency and team, including active participation in supervision activities, team meetings, continuing education, etc.
- Other duties as assigned by Supervisor, or designee.
Knowledge, Skills & Abilities
High level of dependability, customer service focused, knowledge of the principles and best practices in the delivery of healthcare and HIPAA, skilled in establishing and maintaining effective working relationships with clients, staff, and outside treatment providers, knowledge of community resources and referral sources, ability to recognize and be sensitive to cultural and ethnic differences, and the ability to prepare written reports and document client progress in the EMR.

Job Qualifications
- At least 21 years of age.
- Experience in a medical office setting, with preference in the mental health field and customer service.
- Candidate must have a valid driver’s license, be able to pass all background checks and pre-employment drug screens.

- Requires sitting for periods of time.
- Occasional bending, stretching or lifting.
- May require contact with individuals with communicable diseases.
- Requires the ability to work under high stress conditions for long periods of time.
- Ability to hear normal range of voice.
- Ability to prepare written reports, use telephone equipment and have computer skills.
- Normal office environment.
- Occasional exposure to communicable diseases and other conditions in a clinic environment.
- Occasional exposure to aggressive or violent patients.
