Position Summary
The Concierge is often the initial contact and first impression that many people have of Spring Village at Stratford. The Concierge is responsible for greeting potential residents, families, and visitors, managing both external and internal calls, and taking and communicating messages. They provide an overview of community information to those inquiries in support of the Director of Community Relations (DCR) and Executive Director (ED) in the marketing and sales efforts. Other responsibilities include assisting the Business Office Coordinator in the community recruitment process, computer data entry, and other assigned administrative duties as well as monitoring the living room area for cleanliness, music, and ensuring a pleasant atmosphere.
Responsibilities
- Oversees community entry area for visitors, guests, and residents; extends a warm greeting
- Contacts Director of Community Relations and/or Executive Director to meet with prospective residents or families and ensure minimal wait times
- Answers incoming phone calls and resident calls within 2-3 rings with the appropriate community identification
- Takes messages as last resort for departments with all required information for follow up. Concierge should attempt to use the communication at their disposal to reach the Department head.
- Creates and maintains marketing and move-in information, alphabetical resident list, resident room list and daily census
- Organizes and distributes mail and newspapers to residents, Executive Director, and all department coordinators
- Maintains and keeps desk and entry area clean and presentable
- Posts and displays daily menu on the activities display
- Checks living room area regularly for cleanliness
- Take dinner menu orders for residents who require delivery all meals
- Ensure gloves are packages for care staff when supplies are diminished
- Put on night movie at 6pm when prompted
- Assist and support care staff with resident emergencies such as hospitalizations, etc
- Opening and Closing duties such as turning off the music, locking doors in several areas, and securing all areas of the building at night
- Check emails and phone messages regularly
- Communicate with staff the needs of the residents brought to your attention
- Greets all visitors with a warm upbeat demeanor with a serving heart
- Ensure access to all necessary areas for residents, staff, and visitors
- Confirm doors and locking mechanisms are working properly. Look for signs of tampering or damage from overnight.
- Secure all exterior doors and any restricted internal areas, and double-check all entry points and communal spaces when closing.
Skills
- Strong customer service skills with a focus on guest relations.
- Previous experience at a front desk in a hotel or residential facility is preferred.
- Ability to manage time effectively and prioritize tasks in a fast-paced environment.
- Excellent phone etiquette for handling inquiries and reservations.
- Multilingual or bilingual abilities are a plus, enhancing communication with diverse guests.
- Strong interpersonal skills to build rapport with guests and team members alike.
Job Types: Part-time, Temporary
Pay: From $18.00 per hour
Expected hours: 18 – 24 per week
