We are seeking an enthusiastic, organized, and dedicated Full-Time Receptionist to join our team and help provide exceptional customer service to our clients and their pets.
As a Receptionist at Springfield Animal Hospital, you will be the first point of contact for our clients, making you a vital part of the team. You will be responsible for greeting clients, answering phones, scheduling appointments, and ensuring the smooth operation of the front desk. Your ability to multitask, communicate effectively, and provide excellent service will directly impact the positive experience our clients have when visiting our hospital.
Key Responsibilities:
- Greet and check-in clients and their pets in a friendly, professional, and timely manner.
- Answer phone calls, schedule appointments/surgeries, and respond to inquiries regarding services, fees, and policies.
- Maintain and update client records and appointment schedules accurately.
- Process payments, manage billing, and handle insurance claims as needed.
- Ensure a clean, organized, and welcoming front desk and waiting area.
- Assist clients with the completion of forms and the preparation for their appointments.
- Coordinate with veterinarians and other team members to ensure smooth daily operations.
- Handle client concerns and complaints with professionalism and empathy, escalating issues when necessary.
- Manage inventory for office supplies and ensure necessary items are stocked.
- Perform general administrative tasks, including filing, faxing, and mailing documents.
- Assist with other duties as needed to ensure the efficient functioning of the clinic.
Qualifications:
- Previous experience in a receptionist or customer service role (preferably in a veterinary or healthcare setting).
- Excellent communication skills, both verbal and written.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Ability to maintain a calm and positive attitude in a fast-paced environment.
- Proficiency with office software (e.g., Microsoft Office) and experience with PIMS (Avimark) preferred
- Empathy and patience when dealing with pets and their owners.
- Strong attention to detail and a commitment to maintaining confidentiality.
- Ability to work some evenings and weekends
