Qualifications :

This role is integral to the effective functioning of the Superintendent's office, requiring a blend of administrative expertise, communication skills, and the ability to manage relationships within the school district and the broader community. The ideal candidate will possess all of the following :

  • Educational Background : Completion of Bachelor's Degree or equivalent experience in a related field is required. Experience in a public school setting is strongly preferred.
  • Administrative Experience : A minimum of three years of secretarial or administrative experience, preferably in a school district or educational setting.
  • Communication Experience : Experience preparing various forms of communication for various stakeholders. Including drafting and prepare reports, correspondence, and updates. Experience creating digital and graphic content to support communication efforts and enhance accessibility.
  • Technical Proficiency : Demonstrated proficiency in Google Suite, including Documents, Slides, Sheets and Calendar, as well as Microsoft Office Suite, including Word, Excel, PowerPoint, and other relevant software applications. Experience with social media platforms, creative suites such as Smore and Adobe, and website management is strongly preferred.
  • Interpersonal Skills : Strong verbal and written communication skills, with the ability to interact professionally with employees, board members, and the public. Ability to handle confidential information with discretion is an essential requirement.
  • Organizational Abilities : Exceptional organizational skills, with the capacity to manage multiple tasks, set priorities, and meet deadlines efficiently.
  • Independent Judgment : Ability to work independently, make informed decisions, and display initiative in carrying out responsibilities.

Description :

The Confidential Administrative Assistant to the Superintendent of Schools plays a crucial role in ensuring the successful and efficient operation of the superintendent's office. This position involves a diverse range of responsibilities, including community engagement, traditional and non-traditional media management, office organization, and school board relations.

This position is based in the district's central office, with occasional support for off-site events, professional development, and community engagements. The role involves frequent interaction with both internal and external stakeholders and requires a high degree of discretion and professionalism.

Key Responsibilities :

  • Confidential Administrative Support : Provide comprehensive secretarial and administrative assistance to the Superintendent, ensuring all tasks are handled with utmost confidentiality and professionalism.
  • Communication Management : Serve as the initial point of contact for internal and external stakeholders to the Superintendent, managing correspondence, drafting and editing official communications, and facilitating effective information flow between the Superintendent's office and various constituencies.
  • Social Media and Public Relations : Oversee the district's traditional and non-traditional media presence, including regular updates to the website, posting special events, creating district newsletters, press releases, and public relations materials to enhance community engagement and transparency; Coordination of communications across district schools.
  • Board Relations : Support the Superintendent in the coordination of all matters related to the Board of School Directors, including preparing meeting agendas, distributing materials, maintaining website resources and historical records, and ensuring timely communication of board decisions and policies to the public.
  • Policy Management : Maintain and update the official Board of Education Policy Manual, ensuring all policies are current and accurately disseminated to relevant parties.
  • Community Engagement : Act as a liaison between the school district and the community, addressing inquiries, coordinating public information, and fostering positive relationships with parents, students, and community members.
  • Administrative Coordination : Manage the Superintendent's calendar, schedule appointments, arrange travel, and coordinate with other administrative staff to ensure smooth office operations.

    Terms of employment :

    12 month, full-time position to be determined in accordance with the conditional / supervisory staff terms and conditions compensation plan to begin in April.

    1. Current employer; and

    2. All former employers that were school entities; and

    3. All former employers where you were in a position that involved direct contact with children.
