BUSINESS OFFICE MANAGER
JOB DESCRIPTION
The purpose of this position is to implement and maintain systems to operate the business office in an effective, efficient manner.
REQUIREMENTS:
- Background in accounting, claims processing, accounts receivable preferred.
- Completion of secondary education and must be able to read and write in a legible and understandable manner.
- Experience in management and/or a willingness to be trained.
- Leadership ability.
- No less than one (1) year of accounting experience.
- Must maintain regular attendance.
- Must meet all local health regulations, and pass post-employment physical exam if required.
- Must be capable of performing the essential job functions of this job, with or without reasonable accommodation.

RESPONSIBILITIES
- Coordinate business office functions with other departments.
- Prepare and submit reports on a timely basis to the Administrator as required and as directed. Keep informed on all local, state and federal requirements related to the business office.
- Maintain group health insurance records. Maintain the facility insurance program including workman’s compensation, disability, health insurance, pensions and annuities as required and directed.
- Handle all correspondence related to business office functions. Maintain accurate resident accounts for Medicare, Medicaid and private residents.
- Verify resident accounts, verify charges and transmit accurate statements in a timely manner.
- Communicate and work cooperatively with facility vendors, suppliers and contractors.
- Develop an accurate accounts receivable documentation and retrieval system. Develop an accurate accounts payable documentation and retrieval system.
- Balance daily receipts and make bank deposits. Collect delinquent accounts. Evaluate need for and refer delinquent accounts to collection agencies. Organize a system for collection of accounts on a regular basis and when delinquent. Follow up on all account collection procedures.
- At the time of resident admission, interview residents’ representatives to arrange payment methods. Secure information on residents’ financial status. Evaluate residents’ financial status and make appropriate recommendations to approve or disapprove extension of credit.
- Coordinate credit program with outside agencies.
- Reconcile bank statements.
- Prepare payroll records and revise as required and directed. Calculate and record earnings and deductions.
- Prepare and maintain time cards and time sheets.
- Prepare and distribute payroll checks.
- Calculate and record vacation, holiday, sick leave, authorized overtime, leave of absence and termination pay.
- Analyze billings and submit appropriate statements to Medicare, Medicaid, private insurance companies or private paying entities.
- File inquiries, reconsideration and appeals, to the appropriate agency or individual(s) for rejected statements.
- Maintain accurate, neat, organized files of all business office records so that they may be promptly retrieved.
- Perform other duties as requested by management.
- To maintain admission and financial systems in compliance with federal, state and local requirements.
- Develop, implement and maintain systems to collect, document accurate complete admission data.
- Develop, implement and maintain systems to assure prompt retrieval of resident information.
- Develop, implement and maintain systems to assure confidentiality of resident information.
- Develop and implement a monitoring system to assure compliance with federal, state and local requirements.
- Develop and implement systems to operate the facility in a financially sound manner.
- Determine the staffing needs of the business department and hire sufficient staff.
PHYSICAL REQUIREMENTS OF JOB (with or without assistance):
Walking, reaching, bending, lifting, grasping, pushing and pulling, fine hand coordination, ability to understand and follow written and oral instructions and directions; ability to communicate with residents, families, outside agencies and consultants; and the ability to remain calm under stress.
