The Operations Supervisor will help carry out the mission, policies and objectives of the Springville Museum of Art (SMA) and Springville City in a professional manner. The Operations Supervisor will manage Museum Operations programs and personnel including Visitor Services, Event Rental programs, Security and Facility maintenance and special programs and projects.
Duties :
- Hires, trains, supervises, and evaluates Front Desk and Museum Store staff; Event Coordinator, and Event Host staff
- Develops and enforces strategy, policies, and procedures to maximize visitor experience and ensure visitors are met with an inviting and dynamic first impression of the Museum
- Serves as office manager, helping coordinate reports and activities of the Museum staff members, staff meetings, and other activities; assistance and participation in some City and Board meetings.
- Coordinates with other City Departments as needed for general Facilities and IT services
- Keeps accurate attendance and financial records, analyzes store and rental revenue, attendance trends and data, prepares regular reports. Ensures expenses and revenues remain within annual budgets
- Tracks and organizes Museum receipts, invoices, and expenses
- Oversees cash accounting / accounts receivable for Museum Store and Front Desk, responsible for implementing and creating internal procedures and following City policies and guidelines
- Monitors the facility to ensure that it is safe, clean and in proper repair. Coordinates with facility staff to resolve problems and make repairs to the facility in a timely manner.
- Works with Museum Director and Facilities Staff to create long-term plans for facilities maintenance and improvements manages capital projects as assigned
- Completes administrative tasks for the Museum Director as assigned
- Plans, manages, and executes special events and programs as assigned (could include Annual Art Ball, exhibition opening receptions)
- Assists with managing Museum website and other communication tasks as assigned
- Coordinates with Public Safety officials for emergency planning and response
- Maintains professional knowledge through workshops, meetings, membership in
professional organizations, and reading current literature.
Qualifications :
Must be a graduate of an accredited university with a minimum of a Bachelor's degree in Public Administration, Business, Arts Administration, or a related field; with at least 2 years of arts, non-profit, or public administration experience or an equivalent of related education or experience. Previous experience in museum / non-profit development and management is beneficial. Knowledge and appreciation of museums, visual arts and the humanities is an essential component of this position.
KNOWLEDGE, SKILLS AND ABILITIES
Candidate must be a self-starter with strong attention to detail and administrative efficiency. Must possess leadership skills and be able to delegate tasks and motivate staff, stakeholders and volunteers. Demonstrated ability to organize, implement, and evaluate effective and innovative programs. Strong interpersonal and communication skills, both oral and written, including careful copy editing. Must know or be able to learn knowledge of museum best practice standards for museum collections and facilities. Must have a high degree of computer literacy, including familiarity with Microsoft Office and Adobe Creative Suite. Must be able to work extended hours and available to work evenings and weekends.
