What are the responsibilities and job description for the Director of Enrollment Services position at Square One?
Square One is a private nonprofit organization in Springfield, Mass.
Our programs include early education and care, and out of school time care for elementary school age children.
Our parent education, support and training programs are offered through groups, home visitation and personalized case management to help parents access whatever services are needed to be successful in their role as their child’s first teacher.
We are currently looking for a Director of Enrollment to join our team!
The Director of Enrollment is responsible for the oversight of the Early Education and Care Enrollment Team and managing all Department of Early Education and Care (EEC) policies, procedures and compliance associated with enrollment and eligibility requirements and policies. The Director ensures all families are treated with dignity and respect and manages overall enrollment for Square One.
QUALIFICATIONS
- Bachelor’s degree in Education/Business or related field with two years-experience in a customer service setting and working with Child Care Financial Assistance (CCFA), KinderWait, and EEC subsidy enrollments OR,
- Associates degree/high school diploma and five years-experience working with CCFA, KinderWait, and EEC subsidy enrollments;
- One-year experience supervising others;
- Ability to communicate professionally with families, various professionals and state agencies;
- Ability to implement and maintain compliance on all program requirements in adherence to EEC and Square One standards;
- Strong organizational skills;
- Must be able to pass a background check that meets compliance standards;
- Strong customer service skills,
- Bilingual (English Spanish) preferred.
MAJOR RESPONSIBILITIES AND KEY TASKS
Enrollment
- Maintain and oversee all files for families enrolling in all programs associated with Square One Early Education and Care;
- Provide referral and programming information to families in need of services;
- Ensure all Square One and EEC eligibility requirements are met prior to child enrolling;
- Ensure compliance with all funding source requirements;
- Maintain all spreadsheets to coordinate and capture enrollment data and slot utilization;
- Complete enrollment process, if needed;
- Develop written reports, as needed, for data and reporting purposes;
- Represent Square One at outreach events (some night/weekends may be required);
- Support family access navigators in the enrollment process;
- Review all files for approval in CCFA database;
- Coordinate transfers between all Square One Early Education and Care programs and locations.
Supervision / Administration
- Remain current with all EEC policy/procedure changes;
- Maintain written internal controls, policies and procedures outlining staff responsibilities, program operations and orientation;
- Train staff on new EEC enrollment policies/procedures;
- Hold regular team meetings to ensure work flow and compliance;
- Maintain all reauthorization end dates to ensure timely reauthorizations;
- Work, in partnership, with Director of Supportive Services to ensure appropriate placements for children with DCF referrals;
- Work, in partnership, with the Director of Transportation on all transportation issues related to enrollment;
- Work collaboratively with Square One Center Directors and other EEC Management Staff to maintain accurate placements and enrollment data;
- Coordinate enrollments/terminations to ensure accurate data and effective slot utilization.
