Office Coordination
- Greet and assist visitors, clients, and employees in a friendly and professional manner.
- Manage the reception area, including answering and directing incoming calls or inquiries.
- Maintain general office cleanliness and organization, restocking supplies as needed.
Administrative Support
- Handle daily clerical tasks such as filing, scanning, photocopying, and managing correspondence (emails, letters, packages).
- Prepare and edit documents, presentations, and reports, ensuring accuracy and consistency.
- Maintain and update records, databases, and filing systems to enhance office efficiency.
Scheduling & Calendar Management
- Coordinate and maintain multiple calendars, scheduling appointments, meetings, and conference calls.
- Arrange meeting logistics, including reserving conference rooms, preparing agendas, and compiling necessary materials.
- Provide reminders and follow-ups to ensure prompt attendance and preparedness.
Communication & Coordination
- Collaborate with various departments to facilitate the flow of information and support cross-functional projects.
- Act as a liaison between management, staff, and external partners when handling inquiries, requests, or other issues.
- Draft and distribute internal memos, email announcements, and external correspondence.
Event & Travel Arrangements
- Assist in planning and executing company events such as team-building sessions, conferences, or social gatherings.
- Coordinate travel arrangements, including transportation, accommodations, and itinerary scheduling for staff or guests.
- Manage expense reports and ensure timely reimbursement for travel-related costs.
Data Analysis & Reporting
- Compile data from multiple sources for analysis or presentation to management.
- Monitor and track office expenses, budgets, and resource usage to optimize costs.
- Generate regular and ad-hoc reports as requested by management.
Education & Experience
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration or related field preferred.
- Proven experience as an Administrative Assistant, Office Coordinator, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
