SUMMARY : The Family Services Assistant Director will provide a high level of administrative support to the Family Services Director. This position requires multi-tasking and a timely completion of tasks in coordination and collaboration with the agency staff. Acts on behalf of the Director on administrative matters or delegated key program elements that would normally fall into the Directors area of program responsibility. Independent performance of complex administrative assignments requires substantive knowledge of a variety of regulations and rules.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following :
- Provide administrative support to the Director and other program staff as assigned.
- Serve as the primary contact for the department when the Director is away.
- Family Services Budget oversight and development
- Participate in developing and monitoring departmental budgets and completing annual report requirements
- Assisting with staffing needs to include : training, supervision, and budgeting of department employees
- Emergency management oversight
- Planning and implementing department events as requested
- Identify, locate and track documents needed for support of department.
- Input and maintain grant related data to computer software program.
- Assist in the preparation for grant and contract program audits.
- Review records and reports pertaining to all grants.
- Assist with drafting recommended program policies and procedures.
- Establish and revise electronic or manual record keeping systems.
- Coordinate, prepare and distribute meeting notices and minutes.
- Schedule meeting sites and appropriate amenities gather documents for various program meetings and take meeting minutes.
- Provide support and training to other office staff.
- Other duties as assigned.

Ability to effectively present information to top management, public groups, and / or boards of directors.
MATHEMATICAL SKILLS : Ability to work with mathematical concepts such as probability and statistical inference and fundamentals of plane and sole geometry and trigonometry. Ability to apply concepts such as fractions, percentages, ratios and proportions to practical situations.
REASONING ABILITY : Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
CERTIFICATES, LICENSES, REGISTRATIONS : Valid Washington State Driver’s License required; THRP or PHR certification required with ability to pass advanced certification within one year.

Requirements :
EDUCATION and / or EXPERIENCE : Bachelor’s Degree in business and five years relevant experience with increasing work responsibilities and with a minimum of two years of managerial or supervisory experience; OR Associates Degree in related field and seven years relevant work experience with increasing work responsibilities and with a minimum of two years of managerial or supervisory experience OR High School Diploma and nine years of relevant experience with increasing work responsibilities and a minimum of two years of managerial or supervisor experience.
