Under the direction of the Manager, responsible for supervising the Patient Transport Department. Manages the courtesy coach program.

ESSENTIAL FUNCTIONS

1. Manages and is responsible for the Patient Transport and Courtesy Coach Program.
a. Monitors and supervises the activities of staff. Rounds and conducts "spot checks" of areas of responsibility.
b. As a working supervisor, assists and supports staff. Performs all duties of a Dispatcher or Patient transporter, when required.
c. Assures that staffing levels are adequate and sufficient to meet the needs of the organization. Inputs all schedules and information into the computer system to have available at all times. Assures that the oncoming shifts are properly staffed.
d. Monitors the dispatching process to assure acceptable time frames are being achieved. Institutes appropriate measures to enhance service when required.
e. Assists the Manager in implementing and monitoring Patient Transport policies and procedures.
f. Collaborates with other leaders when issues or concerns arise.
g. Acts as a liaison between Patient Transport and Volunteer Escort Service to expedite patient and visitor traffic flow throughout the Hospital. Monitors equipment condition and availability for escort program. Assures equipment is available and in working condition.
h. Supervises the Courtesy Coach Program.

2. Selects, orients/trains, schedule and assigns staff. Monitors and supervises staff. Manages human resources to assure quality services and to promote positive employee relations.
a. Collaborates with Human Resources on the recruitment and selection of qualified employment candidates, following all policies, guidelines and applicable laws. Recommends hiring, promotion, demotion and transfer of employees.
b. Staff are oriented and trained thoroughly upon hire including a review of department manual. Trains new employees in CPR and recertifies existing employees.
c. Manages performance using coaching, counseling and corrective action. Maintains effective and appropriate staffing by monitoring employee turnover, overtime and absenteeism. Follows Human Resources polices to implement corrective action, when necessary.
d. Consistently and fairly implements Human Resources policies.
e. Staffs to budget.
f. Evaluates the performance of staff. Reviews, tracks, compiles Patient Transport evaluations on a daily basis. Evaluations are maintained for inclusion in staff performance reviews
g. Develops performance goals/objectives with each staff member to promote maximum productivity, proficiency and professional growth, as evidenced by written goals on performance appraisals.
h. Employee performance appraisals are completed thoroughly and on time.
i. Is recognized as a positive role model.

3. Inspects and maintains equipment for safety in compliance with established standards and guidelines.
a. Maintains O2 cylinder supply and monitors the equipment for cleanliness.
b. Responsible for all rolling stock inventory and loss prevention.
c. Inspects equipment per established schedule and guideline. Involves staff in the process.
d. Responsible for coordinating preventive maintenance and repair of equipment, per manufacturer recommendation and established standard.

4. Is responsible for department’s operational excellence; assures department delivers quality services in accordance with applicable policies, procedures and professional standards.
a. Manages all activities so that quality services are provided in an efficient and effective manner, as observed by manager.
b. Services provided meet all applicable regulatory requirements.
c. Maintains an effective quality improvement program as evidenced by reports.
d. Quality improvement program meets JCAHO and other regulatory agency requirement standards as evidenced by review.
e. Maintains departmental productivity measurements; reports status monthly.
f. Directs department activities in a manner consistent with organization-wide programs and procedures.
g. Establishes department policies and procedures that reflect the organization’s standards.

5. Is responsible for the fiscal management of department; assures proper utilization of organization’s financial resources.
a. Develops department budget within designated deadlines according to all budgetary policies and procedures.
b. Effectively utilized resources within established budget; notifies manager of all variances anticipated, or occurred, to maintain department services.
c. Adheres to procedures regarding acquisition of, and payment for, goods and services, as evidenced by appropriate and timely processing requisitions and invoices.
d. Recommends way to reduce expenditures and/or enhance revenues without compromising quality of services.

6. Effectively communicates departmental, organization and industry information to staff.
a. Attends organization’s informational meetings, as evidenced by attendance sheets.
b. Gathers, interprets, and delivers information to staff in a timely fashion.
c. Assures staff understands information as evidenced by staff compliance with, and participation in, hospital programs, seminars, training and related activities.
d. Communication with staff is effective, resolving conflicts which may hamper relations and productivity, as observed by manager.
e. Uses hospital communications resources to inform internal and external audiences of departmental news/achievements/policies.

7. Utilizes Press Ganey information as a method to enhance patient satisfaction, improve service standards and as a training tool.
a. Communicates Press Ganey information to staff upon receipt.
b. Shares Press Ganey "Hot Comments" with staff.
c. Responds to patient comments and concerns in a timely and professional manner. Evaluates, tracks and trends feedback to improve service, processes and systems.

9. Safety Awareness – Fosters a “Culture of Safety” through personal ownership and commitment to a safe environment.
a. Responsible for the safety of all subordinates and assures that staff comply with all safety rules and regulation, including those listed below.
b. Follows patient identification protocol.
c. Attends all department sponsored safety training programs.
d. Makes appropriate use personal protective equipment.
e. Uses proper body mechanics when performing all aspects of job.
f. Adheres to respiratory etiquette guidelines.
g. Maintains a neat, organized work environment.
h. Assures that the Courtesy Coach Driver follows established fleet safety policies and procedures.

10. Attains all agreed to goals and objectives within specified time frames, as part of the organization’s overall mission.

NON-ESSENTIAL FUNCTIONS
1. Other duties as required.
2. Responsible for ensuring Hospital and interdepartmental policy compliance.
3. Performs work of equal skill and responsibility as directed. May also perform work of a higher level in preparation for increased responsibility and may be requested to do work of a lesser responsibility when the work load so requires.
4. Completes all assignments within the designated time frames as requested by Manager.

JOB REQUIREMENTS

Minimum Education - Preferred

High school graduate preferred.

Minimum Work Experience

Minimum five (5) years’ supervisory experience in support services operations required.

Required Licenses / Registrations

MA DRIVERS - Massachusetts Drivers License

Required additional Knowledge and Abilities

Excellent interpersonal skills and have basic computer knowledge is highly desired.

FT 80 hours P/P, weekends and evenings
