What are the responsibilities and job description for the COMMUNITY SERVICES REPRESENTATIVE / COMMUNITY DEVELOPMENT position at St. Charles County Government?
JOB OVERVIEW: The purpose of this position is to provide general clerical assistance to the department, specifically the Community Services Grant Manager. Other duties are shared responsibilities such as part-time receptionist, clerical and computer support for staff and assisting with projects as needed. This position acts under the supervision of the Community Services Grant Manager or other appropriate supervisor.
RESPONSIBILITIES:
- Answers, returns and transfers telephone calls and emails to the appropriate personnel. Provides information on general procedures for services rendered by the department and answers general questions.
- Assists, reviews, and provides direction and instruction on work assigned to personnel.
- Maintains and organizes all electronic files for the Grant Manager and the Department in appropriate software.
- Assist with submittal of monthly, quarterly and close-out billings for multiple grants/agreements.
- Assist with submittal of all funding agreements for executive and/or council approval.
- Assist with submittal of audit documentation to grantors, external and internal auditors.
- Assist on working with agencies, organizations, program staff and boards, as needed.
- Prepares routine correspondence for department staff as needed.
- Maintains and files all necessary paperwork including reviewing for accuracy and completion.
- Assist with preparation of all funding budgets and submittal of all required documents necessary for the administration of the programs.
- Assist with production of correspondence, notices, resolutions, ordinances, and other written materials.
- Attend, transcribe, and prepare summaries of meetings for the Commission on Housing Assistance, Community Assistance Board, and Domestic Violence Board, when needed.
- Revises departmental documentation as directed.
- Assists in obtaining historic data as requested by the customer or other agencies.
- Scans historic data for digital archive purposes.
- Manages all incoming/outgoing mail and processes accordingly.
- Performs other duties as assigned.
REQUIREMENTS:
- Education
- High school education or equivalent.
- Some additional clerical training preferred.
- Experience
- One to two years of experience in the clerical field.
- Any combination of education and experience that provides equivalent knowledge, skills and abilities will be considered.
- Knowledge, Skills and Abilities
- Knowledge of basic record keeping procedures and equipment.
- Proficient in Microsoft Office, Word and Excel.
- Requires knowledge of modern office practices, procedures, and equipment. Working skill in customer relations and service.
