Account Clerk – Accounts Payable
Non-Union, At-Will, 12-month position
In this role
As an Account Clerk, you will be an integral part of our Business Office team, ensuring accurate and efficient preparing/processing of accounts payable and maintain associated vendor and invoice files.
Qualifications
Education
Bachelor’s degree in accounting or related field preferred. Associates Degree or 3 years of experience in an accounts payable capacity required. Experience in a school district environment is preferred
Skills and Training
- Bookkeeping knowledge – accounts payable, accounts receivable and general ledger.
- Experience with financial accounting software, Microsoft Office applications, and Google.
- Excellent organizational skills.
- Knowledge of or demonstrated ability to learn the Michigan Public School Accounting Manual.
- Demonstrated ability to independently analyze and resolve problems.
- Attention to detail and accuracy.
- Excellent time-management skills.
- Ability to establish positive working relationships with coworkers and all stakeholders.
- Strong written and verbal communication skills.
- Maintain confidentiality.
- Ability to work independently with minimum supervision, manage multiple projects, and meet deadlines in a fast-paced environment.
Specific duties and responsibilities of this position
- Review, process and pay all authorized vendors, considering due dates and normal payment cycles.
- Ensure timely entry of data into automated system and maintain accurate reports and documentation of paid and unpaid invoices, purchase orders, and requests.
- Provides purchasing support including assistance with vendors, purchase orders and technical assistance with financial software.
- Manage accounting for RESA purchasing card program and assist with set-up of new credit cards.
- Maintain RESA fixed asset schedule.
- Process vendor 1099’s for year-end processing.
- Monitors and tracks items in the district Accounts Payable and prepaid liability accounts.
- Maintains district-wide Amazon purchasing account.
- Generate Journal entries, as necessary.
- Maintain W-9 file.
- Learn and understand account code structure and apply that knowledge in daily duties including reviewing transactions for accuracy.
- Perform reconciliations as assigned.
- Post monthly reports to the District webpage in a timely manner.
- Assist in fiscal year-end and prepare audit schedules related to areas of responsibility.
- Responsible for submitting Unclaimed Property Report to the State of Michigan annually after performing due diligence on uncashed checks within the district.
- Assure record retention related to the role in accordance with State of Michigan requirements.
- Ensure compliance with internal accounting procedures.
- Communicate with vendors and staff in a professional manner.
- Serve as backup for other Account Clerk positions in the Business Office.
- Assist and work with local school district business personnel as needed.
- Perform other related duties as assigned by Director of Finance and Accounting Manager.
- Regular and reliable attendance.
Compensation
Salary range of $43,000-$46,000 depending on expertise and experience and a comprehensive benefits package including multiple health insurance plans, long-term disability, vision, dental, and life insurance, paid leave time, paid holidays, membership in the Michigan Public Schools Employee Retirement Plan, and a positive work/life balance.
