St. Croix Health is looking for a Business Coordinator to work in our Surgical Services Department.
This position is full-time (1.0 FTE) and will work Monday through Friday, day shifts. Will be required to work on-site at our St. Croix Falls, WI location.
Job Summary
The Business Coordinator works within the surgical services department and closely with the Director. This role will work with providers and staff ensuring all provider and departmental needs are met in a timely and accurate manner to support patient care and surgical services schedule. Actively research needs, purchases, inventories, continuously monitor inventory counts and expiration dates of supplies to assure inventory is available when needed. Coordinate with Health Care Industry Representatives to ensure surgical instrument and equipment special requests are met. Work to standardize supply requisition and dispensing. Responsible for the receipt, storage and distribution of all materials delivered by Health Care Industry Representatives for the PAR Level Systems in the surgical services department storeroom, including the adjustment of stock levels. Will also be responsible for abstracting data and reporting from the EMR as needed by leadership. Ability to maintain computer inventory control system, research and correct errors, audit inventory transactions and chart documentation. Will enter implant and supply data into electronic surgical records for case-costing and billing needs. Maintain vendor contracts for surgical implants and supplies, ensuring vendor pricing is consistent with contracts. Learn and effectively support the overall Surgical Services department with tasks needed.

Essential Duties And Responsibilities
- Vendor/Rep/Supplier Relations:
- Act as first point of contact
- Work with on billing, reporting or purchasing needs, issues and concerns
- Order new products, one time use products, implants and equipment
- Coordinate equipment and supply needs for upcoming cases
- Obtain quotes for equipment and supplies, including capital
- Inter-department collaboration:
- Communication with Materials on equipment and supply needs
- Partner with Materials, Providers and vendors to ensure the best pricing and opportunities for savings
- Collaborate with Finance/Billing to assess procedure levels and Chargemaster
- Maintain statistics for Surgical Services dashboard
- Work with Materials and Finance to add new supplies and implants (EAP/HCPCS code) to necessary applications
- General duties:
- Coordinate surgical procedures, ensuring all necessary equipment, tools and medical staff/reps are available
- Collaborate closely with surgeons and other medical staff to understand the requirements for each surgery
- Maintain accurate records of surgeries scheduled, completed, and any cancellations and changes
- Order and manage surgical supplies and equipment as needed
- Maintain strict confidentiality of all patient information in compliance with HIPAA regulations
Education & Licensure:
- High School Diploma or equivalent required; and,
- Associate degree in related field preferred.
- Minimum of two (2) years of experience in healthcare administration or related field preferred
- Knowledge of medical terminology
- Solid understanding of medical terminology, experience in a clinical environment
- Excellent organizational skills
- Excellent communication and listening skills
- Strong computer skills
- Proficient in Microsoft Office programs, including Excel
- Attention to detail
- Possess excellent verbal, written, organizational and interpersonal skills
- Ability to work independently and as part of a team
- High level of professionalism, able to effectively partner with medical center staff, co-workers, and patients.
- Ability to work in a fast-paced environment and manage multiple demands and priorities.
