The job requires a great deal of multi-tasking, and the ideal candidate must be a self-starter with the ability to respond effectively to a variety of situations and audiences.
Position Type: Administrative Assistant
Standard Hours: Full Time during the school year (10 months) Part Time during the summer months (2 months)
Scheduled Days: Monday - Friday

Position Summary: The Administrative Assistant to the Principal at St. Gregory the Great Catholic School plays a vital role in supporting the principal and ensuring the efficient operation of the school office. This position requires excellent organizational skills, strong communication abilities, and a commitment to fostering a faith-based educational environment.

- Reports To: Principal / Executive Assistant
Key Responsibilities:
Office Management
- Support daily operations of the principal's office and the front office.
- Respond to incoming phone calls, emails, and inquiries, directing them to appropriate personnel if needed.
- Manage front entrance, welcoming parents, volunteers, & students ensuring safety and security procedures.
- Order and maintain office supplies to ensure smooth functionality.
- Coordinate with maintenance and IT departments for office-related needs.
Administrative/School Support
- Support for the principal and school calendars, meeting scheduling, and coordinating appointments.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Support coordination of substitutes, volunteer, and vendors.
- Maintain confidential files and records in an organized manner.
Event Coordination
- Assist in planning and organizing school events, meetings, and special projects.
- Prepare agendas, minutes, and materials for events.
- Manage logistics for school events, including setup and cleanup.
- Receive financial clearance for money intake through the front office.
Communication
- Provide support between the principal and faculty, staff, students, parents, and the community.
- Draft newsletters, memos, and other communications from the principal's office.
Student and Parent Support
- Assist with student enrollment, registration, attendance tracking, and record-keeping.
- Provide student support as needed, including with health office needs such as minor first aid, medication distribution, and contacting parents when necessary.
- Provide guidance to parents on school policies and procedures.
- Follow up on student absences or tardiness as needed.
Qualifications
- High school diploma or equivalent; additional education or training preferred.
- Strong organizational skills with attention to detail.
- Excellent oral and written communication skills.
- Ability to work collaboratively in a Catholic faith-based environment.
- Proficiency in office software such as Microsoft Office Suite or Google Workspace.
Additional Requirements
- Commitment to Catholic values and traditions
- Ability to maintain confidentiality and discretion in all matters.
- Bilingual skills in Spanish and English are preferred but not required to effectively communicate with students, parents, and staff.
- First Aid / CPR certification (certification opportunities can be provided)
Working Conditions/Physical Requirements: The requirements described here are representative of those that must be met to successfully perform the essential functions of this job. Ability to operate standard office equipment, including computers, copiers, and telephones. Proficient in Microsoft Office Suite, including Word, Outlook and Excel.
Communicate effectively verbally and in writing. Valid driver's license required. This position involves standing, walking, sitting, talking, hearing, stooping, kneeling, crouching, and reaching above shoulders. Ability to lift and move up to 25 pounds to transport files or materials. Experience in SharePoint for collaboration and document management is preferred but not required. Successful completion of a clear background check required.
