Job Overview
We are looking for a person with strong administrative skills who is a growing disciple of Jesus Christ and embraces the vision of St James and values of the Western Anglicans. The primary purpose of this position is to manage our church office and operations – including internal and external communication, service coordination, event planning and financial administration – and support our ministry teams.
This position reports to the Rector, supports members of paid and volunteer ministry staff, and supervises some hourly staff and volunteers.
Responsibilities

This is a part-time staff position of approximately 20 hours per week Monday to Thursday 9 am - 2pm (flexible) in office. The responsibilities for this position are as follows:
Be a welcoming physical presence in the office and a key point of contact for visitors and building concerns.
Office Administration
· Storage and office areas: organize and refill/purchase supplies
· Manage inbound communication in all forms, and much of outgoing communication. Answer office phone, respond to emails, pick up mail and manage all mailings
· Church safety: ensure all staff and volunteers are Ministry Safe certified, and all licenses and insurance contracts are up to date
· Facilities: oversee rentals, reservations, and contracts including, insurance, and business operations.
· Write emails, schedule meetings, run errands, and gather resources as requested by paid ministry staff
· Oversees admin assistant workflow and communicates with sexton of weekly changes for seasonal events.
Service Prep
· Prepare readings, proof-read PowerPoints/bulletins, and print liturgies
· Recruit and manage volunteer schedule
· Communication with volunteers
Events
· Assist with organization and event details
· Coordinate and collaborate with vendors (e.g. graphic designer, printers, social media)
· Manage event registration and update website with event information
Bookkeeping/Financials
· Manage church expenses, giving, and do some basic bookkeeping in coordination with the Treasurer and CPA.
· Input all transactions for credit card, autopay, and expenses into Realm
· Manage electronic donations, links, reimbursements, and online giving
· Pay bills and venders, process expense claims

Skills and Characteristics

· You have strong interpersonal skills including oral, written, and digital communication
· Planning and administrative skills in financial and building operations
- You have a strong history of organizing time, prioritizing tasks, and attending to details.
- You enjoy financial data and basic accounting
- You are personable and work well with a variety of people: venders, staff, volunteers, congregants.
- You are skilled with a variety of software and comfortable learning new applications: Microsoft Office, Google Workspace, Adobe, Realm (or similar software) Paychex,
- You are independently motivated, yet flexible and adaptable amidst changing needs.
Education
Associates in business administration or relevant experience. Ideally a bachelors or masters in Christian ministries preferred. Any of these requirements may be waived considering sufficient equivalent experience in the field.
Compensation
Varies depending on experience and skills.
