Description

General Summary :

Under the supervision of the Circiut Court Judge, maintains and operates electronic recording equipment to record court proceedings and prepares or supervises the preparation of verbatim transcripts or electronic copies upon request. Serves as a legal secretary transcribing correspondence, opinions and orders, screening visitors and telephone calls, scheduling appointments and assisting with administrative matters. Manages the calendar of the assigned judge and serves as assignment clerk for those matters. Reviews files to ensure readiness for court and takes appropriate follow-up action following court action.

Essential Functions :

  • Prepares and utilizes electronic digital audio / video computer recording system to record court proceedings and assures that recording systems are operational and ready to record. Troubleshoots problems when not operational.
  • Attends hearings and operates the recording system during hearings and trials. Maintains related logs and as needed, marks and maintains exhibits during the proceeding.
  • While operating recording equipment, requests speakers to clarify inaudible statements or spell technical or unfamiliar terminology as necessary for proper recording of proceedings. Develops a running glossary of unusual or scientific terms or names, and takes custody of exhibits as necessary. Screens and processes other correspondence for the judge's attention.
  • Prints dockets and hearing logs for the courtroom. Prepares electronic and other records and labels, inventories and stores logs and electronic files at the end of each hearing day. Maintains and retrieves records as requested by the judge or others.
  • Prepares or supervises the preparation of verbatim transcripts or electronic copies of court proceedings upon request and the paperwork necessitated by an appeal process if appropriate. Proofreads transcripts, ensures copies are certified, and prepares invoices.
  • Receives and screens telephone calls and visitors. Provides case information to court patrons, explains and interprets court policy and procedures, schedules meetings, and directs people to proper person, location or court.
  • Performs general administrative and executive secretarial services for the judge, such as composing and typing correspondence, court orders, legal documents and other materials; opening and routing mail; scheduling judicial appointments; acting as gatekeeper for requests of the office and judge's schedule and maintaining office supplies.
  • Reviews files on schedule to ensure their readiness for court action. Gathers additional information as needed, performing research and completing necessary documentation.
  • Pulls files scheduled for hearings to review and assess their readiness for court action. Completes the computer generated dockets by listing attorney names, motions, and upcoming court dates. Performs necessary follow-up to the hearing including referral to appropriate parties and schedule of evidentiary hearing or other action.
  • Completes necessary follow-up on pre-trail orders of the judge by recording dates, reserving rooms and sending notices to concerned parties. Processes jury and status conference notices and trial schedule and ensures that all paperwork is completed.
  • Reviews files on schedule to ensure their readiness for court action.
  • Coordinates with other county officials and external agencies and parties to perform required tasks and follow up on directives from the judge.
  • May serve as jury clerk / bailiff including checking in jurors, preparing the voir dire list for the judge and acting as bailiff.
  • Performs other duties as required.

Position Requirements

Education :

  • A high school diploma with supplemental vocational coursework in office management, secretarial science or a related field.
  • Experience :

  • Two years of progressively more responsible secretarial / administrative experience.
  • Other Requirements :

  • Experience and proficiency in Microsoft Office Suite applications.
  • Certified Electronic Recorder (CER) certification from the Michigan Supreme Court, desired not required.
  • Must be able to pass a complete background check.
  • Knowledge of Family Division and Circuit Court procedures, court rules and statutes, desired not required.
