Location: Ticonderoga Outpatient Clinic - Ticonderoga, NY
Position: Full-time Administrative Assistant
Shift/schedule: Monday-Friday, 8:00am-4:30pm
Pay Range: $17.00/hour to $23.00/hour
Position Summary: Responsible for overseeing the general office management functions of the site assigned. Under the supervision of the site supervisor position is responsible for promoting efficient clerical and organizational systems as established by agency administration. Works independently under indirect supervision of site supervisor.
Education and Training: High School graduate. An associate degree in business preferred.
Experience and Work Knowledge: Two (2) years general office management including accounting and transcription experience. Proficient in word processing/computer operations.
Physical Demands: No extraordinary physical demands.
Essential Duties:
- Responsible for all reception activities including telephone answering, appointments, setting up of initial client files.
- Maintains the general orderliness of the clinic site.
- Maintains individual account team records for each client accurately reflecting accounts receivable.
- Maintains daily statistical recording of each client contact.
- Prepares month end statistical reports.
- Prepares month end balance reports and aging statements.
- Oversees and prepares timely ordering of office and building supplies, photocopying needs and submits requests to central administration source.
- Maintains accurate accounting of site petty cash fund.
- Accounts accurately for receivables as received at site and submits to central administration source.
- Reconciles accounts receivable.
- Maintains computerized accounting system.
- Meets with clients to establish and monitor treatment.
- Communicates directly with insurance companies to establish eligibility and reconcile outstanding accounts receivable.
- Maintains surveillance of potential or actual safety hazards and reports to site supervisor. Prepares monthly survey reports.
- Orients clerk/typists to work area and equipment.
- Maintains site equipment inventory control manual as per agency Policy and Procedure.
- Oversees billing and collections across outpatient clinics.
- Responsible for training and monitoring other OPC administrative assistants with regard to billing and collections.
- Acts as liaison for OPC administrative assistants with SJRC Finance Office.
- Reports as needed to the CFO and Outpatient Services Director regarding outpatient billing and revenue collection.
- Responsible for other duties as may be assigned by the site supervisor.
