Location: Inpatient Facility - Saranac Lake, NY
Position: Full-time Transportation Manager
Shift/schedule: Monday-Friday / 7:00a-3:30p
Pay range: $18.00/hour to $29.00/hour
Position Summary: Provides safe and efficient transportation coordination, as outlined in the NYS DOH Medicaid Provider rules and regulations for transporting clients, residents, employees, other authorized personnel, and materials, including mail and vendor supplies. Responsible for overseeing the scheduling and billing of transportation services to Medicaid. Under the supervision of the Network Associate Director of Transportation, the position promotes efficient billing and organizational systems. Serve as the direct supervisor for the drivers in SJRC Transportation.
Education and Training: High School graduate. An associate degree in Business is preferred.
Experience and Work Knowledge: Two (2) years of general office experience. Accounting experience preferred. Proficient in word processing/computer operations.
Physical Demands: No extraordinary physical demands.
Essential Duties:
- Coordinates transport of clients for assigned scheduled activities.
- Mail pickup and delivery
- Resident transport to our facility
- Resident transport to Aftercare facilities
- Medical/Dental appointments
- Resident and Resident family transport to bus station
- Personnel transport to meetings
- Coordinates and performs transport for additional administrative assigned and scheduled activities.
- Material and supplies
- Prescriptions
- Courier services
- Maintains, coordinates, and completes the following:
- Transportation calendars for admissions, discharges, and resident appointments for Inpatient, Rose Hill, North Country Freedom Homes, and Veterans Programs
- Coordinating with Medicaid Answering Service to maintain billing approval for each trip for clients with Medicaid coverage.
- Determining the rate for the County and billing Medicaid for the service.
- Assign drivers to daily trips.
- Processing credit card statements, bus vouchers, vehicle maintenance supplies, and services.
- Responsible for all transportation coordination activities, including email answering, telephone answering, appointments, and coordination of client files.
- Responsible for documenting trip information into the E.H.R. under Service Entry.
- Monitor and track preventative maintenance schedules for assigned vehicles and submit work orders for service and repairs. Coordinate with vendors for services when necessary and approved.
- Transportation Billing and Revenue Collections:
- Ensure proper demographic and benefit assignments are entered in E.H.R.
- Verify that accurate and complete information is included in the claim by payer requirements.
- Submit claims for processing.
- Process rejections, denials, or requests for additional information promptly.
- Maintain the E.H.R. accounting system with mileage rate updates and changes.
- Prepares monthly reports, statements, and aging statements as needed.
- Provide the Supervisor with tracking vehicle maintenance and condition assessments as needed. Advises on vehicle needs.
- Supervises and coordinates all drivers’ activities and aids with hiring and disciplinary needs for the transportation department.
- Verify accuracy and approve staff time
- Complete and review performance review evaluations and take corrective action as required.
- Ensure employees receive training regarding policy, procedures, and regulations.
- Prepare all required reports and special tasks as needed, including periodic updates as instructed by immediate supervisor or other management as required.
- Performs other related duties as assigned.
