Position Summary

The medical records/operations support Coordinator (MR/OSC) maintains the surgical oncology patient medical records through solicitation of outside records, in collaboration with the surgical oncology operations coordinator, and maintains the records by providing documentation for procedures to the records and test results. The MR/OSC will complete medical referrals by monitoring the physician orders and initiating the referral to diagnostic services, outside physicians and specialists, rehabilitation services, etc. In the process the MR/OSC is accountable for engaging the CBO pre-certification specialists. The MR/OSC maintains a referral list and follows up within the specified time frame to assure patients are scheduled and documentation post procedures are updated into the medical record. The MR/OSC provides operational support for the front office and must know the front office procedures which include greeting patients, registration, checking patients in and out of the office.

Core Job Functions
- Solicits medical records for new patient intake process, collaborates with surgical oncology operation coordinator to assure completeness of new patient records and processes medical records requests as well as assures established patient records are updated with follow up information from diagnostic tests and specialists.
- Monitors physician orders for patient referrals to diagnostic departments, specialists, and initiates referrals; facilitates with CBO the pre-certification process, contacts patients when necessary; provides feedback to providers as needed if delays occur, and maintains outstanding results list to assure patient compliance with physician orders.
- Must be able to back up front office when office coordinators are unavailable. This requires knowledge and training of the entire front office procedures and may require assistance when office is busy.
