This secretarial role will provide clerical and general related office duties for Maternity and Family Services and support general operations of the Baby and Children’s Pantry with a high degree of confidentiality.

Essential Duties and Responsibilities:
- Prepares and processes confidential correspondence, reports, agendas and general paperwork.
- Performs clerical work such as filing and compiling data for various reports including grants.
- Completes thank you letters in a timely manner for Baby and Children’s Pantry donations.
- Answers phone calls relative to Adoption/Maternity and Baby and Children’s Pantry clients and monitors the Baby & Children’s Pantry entrance.
- Organizes and maintains all Infant Adoption files.
- Coordinates application paperwork for Infant Adoption applicants.
- Maintains Letters of Interest for Infant Adoption.
- Transfers Infant Adoption Files to Main Center archives. Retrieves Infant Adoption files from archives for Maternity Director to facilitate search requests.
- Compiles and completes all legal documents for all adoption cases.
- Attends, compiles reports for Maternity Advisory meetings and records minutes.
- Assists pantry clients when needed.
- Inventories and orders Maternity Department’s office supplies.
- Serves as a notary public for entire department.
- Completes end of the month billing reports for Finance Department.
- Assists with Baby and Children’s Pantry daily operation when Outreach Coordinator is off site.
- Assists Outreach Coordinator, Maternity Director and staff in developing special events such as Back to School Supplies Drive, Christmas Distribution, MLK Winter Clothing Collection and NDBN Diaper Need Awareness Week.
- Receives, completes and marks in baptismal book all requests for baptismal certificates.
- Accepts/documents program donations and enters into donor management software.
- Maintains confidentiality in regard to all program information and uses office/private area for confidential conversation.
- Maintains a cooperative relationship with coworkers and supervisors and creates an atmosphere of mutual respect and trust within the department.
