Saint Kateri School, a vibrant and nurturing Catholic elementary school, is seeking a dedicated and organized Office Assistant to support our administrative team. This role involves working directly with the Administrative Assistant and Principal to ensure the efficient operation of our school office. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a commitment to the values of Catholic education. Key responsibilities include:
- Administrative Support:
- Assist the Administrative Assistant with daily administrative tasks, including filing, data entry, and document preparation.
- Manage and organize the school's main office, ensuring a welcoming and professional environment.
- Handle incoming calls, emails, and inquiries, providing courteous and professional assistance to parents, students, staff, and visitors.
- Office Management:
- Maintain office supplies inventory, placing orders as necessary.
- Organize and maintain student records, ensuring confidentiality and accuracy.
- Assist with the preparation and distribution of school materials, including flyers, announcements, and event programs.
- Ordering milk and lunches for students.
- Student and Parent Interaction:
- Greet and assist students and parents who visit the school office.
- Support Administrative Assistant with the handling of student attendance records, tardy slips, and early dismissals.
- Address parent inquiries and concerns, providing information and directing them to the appropriate resources.
- General Duties:
- Maintain a clean and organized office environment.
- Assist with other tasks and projects as assigned by the Administrative Assistant and Principal.
- Uphold the values and mission of the Catholic school community in all interactions and duties.
Qualifications:
- High school diploma or equivalent; additional qualifications in office administration are a plus.
- Previous experience in an administrative or office assistant role, preferably in an educational setting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Docs, and other relevant software.
- Strong organizational skills with attention to detail.
- Excellent verbal and written communication skills.
- Ability to multitask and prioritize tasks in a fast-paced environment.
