The Office Supervisor position reports directly to the Division Manager of Administrative Services, serving in a critical role within the Administrative Services Division in direct service to the County Department of Human Services Director’s Office. 


This position is located in Saint Ann, MO 63074 at 500 Northwest Plaza Drive.

Specific to the County Department of Human Services Director’s Office: The Office Supervisor will manage, organize, and expedite the daily business operations and procedures for the County Department of Human Services Director’s Office. This includes performing clerical and administrative support necessary to facilitate the flow of work, composing sensitive correspondence such as reports and summaries on behalf of the Director’s Office, handling incoming calls and inquiries, and coordinating appointments, meetings, and travel arrangements. Additionally, the position will require researching, developing, and editing written correspondence, presentations, and briefing reports. The Office Supervisor will ensure the Director is informed and prepared for upcoming commitments, while also managing information flow into and out of the Director’s office, ensuring appropriate dissemination to staff and external contacts. Other responsibilities include supervising and coordinating all activities of departmental administrative services support staff, assigning and reviewing support staff’s work, and preparing and signing performance appraisals. Facilitating the collaborating with the Director’s team and departmental support staff on day-to-day support, maintaining technological solutions for interviews and presentations, and handling administrative requests such as procurement of supplies. Recording and transcribing meeting minutes and performing other duties as assigned are also part of the role.


Specific to the Division of Administrative Services: The Office Supervisor will also perform various administrative tasks tailored to the needs of the Division Manager and work units. This includes providing insight and clarification to senior leadership on operational improvements related to DHS policies and procedures, maintaining logs to track incoming and outgoing data, mail, and other information, assisting with budget preparation and monitoring, posting invoices, and preparing requisitions. Additional duties include greeting visitors, ascertaining the nature of their business, and answering inquiries or referring them to the appropriate individual.

MINIMUM QUALIFICATIONS:

Candidates should have five of experience providing clerical or administrative support in a government entity or a similar professional setting. Previous experience in an administrative role, ideally with supervisory responsibilities.

A Bachelor’s or Master’s Degree and five to ten years of experience is preferred.

PREFERRED LEADERSHIP SKILLS AND VALUES:

The successful candidate will demonstrate initiative in gathering information independently from subject-matter experts, team members, and colleagues to gain situational awareness, resolve issues, and deliver timely progress reports to the Director’s Office. They will also demonstrate a proactive approach to resolving process discrepancies and conflicts. Building rapport with key stakeholders, team members, and colleagues, as well as exhibiting a strong alignment with social service values and continuous quality improvement, are critical for this role. Proficiency with technology, particularly in managing virtual meetings and presentations, is also essential.



SELECTION AND APPOINTMENT:  A selection committee will evaluate the qualifications of each applicant which will include recentness and appropriateness of the applicant's education and experience, answers to the supplemental questions, results of employment references investigated and any other appropriate information available.

 The selection committee will admit to the interview only those persons who possess the most job related qualifications and may establish admittance criteria beyond the minimum qualifications stated above.  The interview will comprise 100% of the applicant's earned grade.  A candidate must earn a qualifying grade of 70 or more on the interview to be eligible for appointment.  After initial interviews with the selected candidates are conducted, an email will be sent to the address on file with instructions on how to complete and submit a Conviction Questionnaire.  Candidates have 3 days to complete the required questionnaire.  

 The five top ranking candidates, based on the final grade, will be certified to the Department Director/Appointing Authority who will make the final decision.

 All applicants conditionally offered a merit position will be required to submit to urinalysis to screen for illegal drug use prior to appointment.  Screening will be performed by a reputable clinical laboratory.  The cost of screening will be covered by the County.
