POSITION OVERVIEW: 
The Administrative Operations Assistant provides foundational support in administrative, operational, and technical functions within a County department. This position involves assisting with a variety of tasks that may require attention to detail, organization, and an understanding of basic policies, regulations, and guidelines. The role may include access to confidential information related to employee attendance, departmental budgets, and employer-employee relationships. The key responsibilities of this position vary slightly depending on the level of expertise and experience. The Administrative Operations Assistant II is a mid-level position, which involves more responsibility and independent work, including assisting with more complex operational tasks and providing support to management.KEY RESPONSIBILITIES:

Administrative Support & Coordination
  • Provide general administrative support in operational functions, including purchasing, budgeting, and financial reporting.
  • Assist in the creation, updating, and maintenance of spreadsheets, databases, and reports under supervision.
  • Prepare basic administrative and statistical reports as required.
Research & Problem Resolution
  • Assist in researching operational issues and provide recommendations to senior staff.
  • Respond to inquiries, complaints, and issues from the public, other agencies, and County employees.
Program Administration & Coordination
  • Support the administration of programs and processes specific to the department or assignment.
  • Assist in coordinating administrative issues related to facilities, operations, and program support.
Financial & Budget Monitoring
  • Assist with tracking departmental budgets, purchases, and inventory processes.
  • Support the preparation of fiscal and statistical reports as needed.
Internal Controls & Compliance
  • Help maintain internal controls for operational areas at risk of fraud, waste, and abuse.
  • Assist in monitoring compliance with workplace injury, workers' compensation, and return-to-duty requirements.
Staff Collaboration & Training
  • Assist in coordinating procedures and provide support to other departments.
  • Participate in training and assist staff with new software or procedures.
Leadership & Supervision (Administrative Operations Assistant II)
  • Provide guidance and support to entry-level staff, reviewing their work for accuracy and completeness.
  • Assist in developing and implementing training for staff to enhance operational efficiency.
Advanced Reporting & Analysis (Administrative Operations Assistant II)
  • Provide assistance in advanced support with budgeting, financial analysis, and report preparation.
  • Support the creation, maintenance, and analysis of complex spreadsheets and detailed reports.
Problem Solving & Management Support (Administrative Operations Assistant II)
  • Assist in researching complex operational issues and provide detailed reports with recommendations.
  • Help resolve more complex inquiries, complaints, and issues from the public, agencies, and County employees.
Financial Oversight & Compliance (Administrative Operations Assistant II)
  • Assist in overseeing departmental budgeting, purchasing functions, and inventory processes.
  • Support efforts to ensure internal controls are in place and compliant with policies, especially in high-risk operational areas.

PHYSICAL REQUIREMENTS:
Ability to lift and carry up to 10 pounds occasionally.  Primarily involves sitting, with occasional walking or standing.  Requires the ability to use a computer or other equipment while seated for extended periods. May involve fine motor skills for tasks such as typing or handling small items.

ENVIRONMENTAL CONDITIONS AND WORK HAZARDS:  
Work is primarily conducted in a climate-controlled office setting; however, position may require occasional or frequent travel throughout the County to various departments depending on assignment. The role requires prolonged periods of sitting and extensive use of computers and other office equipment, which may lead to eye strain and repetitive motion injuries. Employees may frequently engage in meetings and teamwork, requiring effective communication in shared spaces. There may be occasions when work is required to be done outside of normal business hours based on operational need and management discretion.

County employees are considered essential personnel in providing and continuing services to our community during and following a disaster, such as a hurricane, or in other emergency situations. As a requirement of County employment, County employees are subject to being required to remain at work during an event, respond to a recall immediately following an event and/or immediately reporting to work when an all clear is declared by the County Administrator. During these types of events, County employees may temporarily be assigned to work and perform duties outside the normal scope of their position, location, and work schedule to fit the needs of the County and its citizens.

Candidates should possess a solid foundational background that demonstrates their ability to engage with the responsibilities of the role effectively.

  • High School diploma or GED required.  College degree from an accredited institution in a relevant field (e.g., business administration, management, operations, or similar) preferred.
  • Two (2) years of experience in a clerical or administrative support role.  An equivalent combination of education and experience may be considered.
  • Hands-on experience with Microsoft Office products (Outlook, PowerPoint, Excel, Word), Windows operating systems, and office equipment.
  • Ability to guide and assist lower-level staff while ensuring quality control in departmental outputs.
  • Ability to research operational issues, analyze data, and provide practical solutions to management.
  • Demonstrated success in recognizing opportunities for efficiency improvements and assisting in implementing procedural changes.
  • Strong organizational skills, able to prioritize tasks and manage multiple projects simultaneously.
  • Excellent verbal and written communication skills for clear and effective interaction with internal and external parties.
  • Ability to support management in addressing complex issues and providing actionable recommendations.
Pay Grade G07

PRE-EMPLOYMENT SCREENING: This position requires a physical, drug testing, driver's license verification and level 1 background screening.

Salary : $22 - $33
