Job Title: Church Business Administrator
Reports To: Senior Pastor
Job Summary:
The Church Business Administrator plays a crucial role in managing and overseeing the operational aspects of the church. This individual will work closely with the Senior Pastor, Lead Team, Trustees, and Audit Compliance Team to ensure smooth financial operations, administrative support, and resource management. The Church Business Administrator will be responsible for overseeing office operations, financial accounting, facilities management, and missions partnerships. The ideal candidate will possess strong leadership, organizational, and financial management skills while aligning with the mission and values of the church.
Key Responsibilities:
Financial Management:
- Execute oversee the church’s budgeting, accounting, and financial planning processes.
- Manage accounts payable, accounts receivable, payroll, and financial reporting.
- Ensure timely processing of donations and tithes, maintaining accurate records for financial transparency.
- Assist with the annual IFAR (internal financial review) and maintain compliance
Operations Team Oversight:
- Supervise operations team staff including events, communications, missions, and Swahili Community, and provide guidance to ensure smooth office operations.
- Develop and maintain church operational policies and procedures.
- Oversee church office systems, including managing communication platforms (phone, email, etc.) and scheduling.
- Help maintain scoreboard metrics for the church to ensure our strategic plan goals are met
Facilities Management:
- Oversee the maintenance and management of church facilities and equipment.
- Ensure the church building is well-maintained, secure, and accessible.
Human Resources:
- Support the recruitment, hiring, and training of church staff.
- Manage employee benefits and ensure compliance with HR policies and practices.
- Serve as a point of contact for staff regarding operational concerns.
Technology and Data Management:
- Oversee church management software, databases, and digital tools for effective data storage and communication.
- Oversee the management and security of church records, including member information and financial data.
Compliance and Reporting:
- Ensure compliance with all applicable local, state, and federal regulations.
- Prepare reports for church leadership, providing financial summaries and operational insights.
- Ensure the church adheres to tax-exempt status and nonprofit regulations.
Communication and Collaboration:
- Communicate effectively with staff, operations team, ministry team, and other church leadership to ensure alignment with church goals.
- Assist with fundraising efforts, stewardship programs, and membership engagement.
Qualifications:
- A strong commitment to the church’s mission and values, and a personal relationship with Jesus Christ. Adherence to the St. Luke vision, values, and staff covenant.
- Bachelor’s degree in Business Administration, Accounting, or a related field (or equivalent experience).
- 3-5 years of experience in business administration or financial management, preferably in a nonprofit or church setting.
- Strong knowledge of financial accounting principles, budgeting, and bookkeeping.
- Excellent organizational, time-management, and multitasking skills.
- Strong interpersonal and communication skills, with the ability to collaborate effectively with staff and church members.
- Proficiency in Microsoft Office Suite and church management software is a plus
- (e.g., Planning Center, Church Community Builder, and Aplos.).
- Ability to maintain confidentiality and handle sensitive information with discretion.
Working Conditions:
- Full-time, Sunday morning, Monday through Thursday, with occasional evenings or weekends required for special events, services, or meetings.
- Work may require sitting, standing, and occasional lifting of up to 25 pounds.
Compensation:
Salary is commensurate with experience. Benefits include health insurance, paid time off, and retirement.
