Position Title: Church Office Administrator
This position works closely with the ministry staff, council members, committee chairs, bookkeeper, and its many members to support the congregation and its variety of ministries.
Skills needed: computer skills, organizational skills, attention to detail, interpersonal skills general bookkeeping skills. This is a part-time, in person position supporting the overall administrative operations of St. Paul’s Lutheran Church.
Hours: 25-30 per week, scheduled between 8 AM – 5 PM, Monday - Friday
Pay: $18.00/HR
Reports to: Pastor
Overview:
· Perform general office work, under the supervision of the Pastor and in cooperation with the other staff, church council members, and volunteers.
· Must have general knowledge of office equipment and supplies and a willingness to further their training.
· Must possess good telephone and communication skills.
· Answer telephone during office hours and respond to phone messages M-F.
· Check and respond to emails M-F.
· Must be able to deal with various types of personalities, both on the phone and in person, in a professional manner.
· Must be able to handle confidential information in a pleasant, discreet, and tactful manner, including monetary and personal information.
· Accuracy and attention to detail is a must.
Responsibilities:
· Perform general office work; photocopy documents and assemble as needed.
· Order supplies and pick up supplies as needed or requested by committees.
· Maintain various files and records including keeping the Operations Manual up to date.
· Keep church staff informed of member’s need such as deaths, illness and other crises.
· Exercise tact, courtesy, confidentiality, and diplomacy in receiving callers, in person or by telephone.
· Prepare and maintain mailing lists.
· Keep accurate church records. This includes organizing and maintaining membership lists (death, confirmation, baptism, new members, graduates). Complete the yearly parochial report.
· Design and distribute weekly emails, worship bulletins (Sunday Services, Midweek Services, funerals, and weddings), newsletter, and other communications.
· Prepare, edit, and distribute the Annual Report each year.
· Facilitate, schedule, and maintain calendar of services for facility use by members as well as outside entities, including SALTO key checkout, time, and zone scheduling.
· Maintain files of reports, correspondence, facility use, and other assigned materials.
· Maintain and update website and social media accounts.
· Prepare advertisements and media as needed.
· Order supplies as needed (janitorial, kitchen, committees, office, worship, and devotional supplies etc.)
· Responsible for bill payment, check requests, payroll documents, basic church bookkeeping, and distribution of church funds and of reimbursements in cooperation with the church bookkeeper and council treasurer.
· Responsible for recording all deposits and individual record of contributions.
· Prepare and distribute Quarterly Giving Statements to members.
· Review and track office budget spending.
· Perform other duties as assigned by the Pastor or Council.
Qualifications/Experience:
· Education - High School diploma or equivalent (minimum)
· Experience with Microsoft Office, including Word, Excel, PowerPoint, and ability to work with graphics and learn new systems as needed.
· Knowledge of basic accounting and bookkeeping procedures.
· Ability to maintain confidentiality and good organizational skills.
