Position Description
The Alumni Relations Manager plays a vital role in strengthening the connection between alumni and The St. Paul’s Schools. Reporting to the Director of Alumni Relations, this position provides critical administrative support and assists in the execution of alumni engagement initiatives, events, communications, and volunteer programs. The ideal candidate is highly organized, detail-oriented, and proactive in managing data, coordinating logistics, and supporting alumni outreach efforts.
Key Responsibilities
- Administrative & Data Management
o Maintain and update alumni records in the school’s database, ensuring accuracy and completeness.
o Track and analyze alumni engagement metrics, producing reports to support strategic planning.
o Assist in managing alumni correspondence, including inquiries, updates, and requests.
o Oversee event registration, RSVPs, and attendee tracking for alumni programs.
o Coordinate mailings, email lists, and outreach efforts to ensure timely communication.
- Event Planning & Coordination
o Support the planning, logistics, and execution of alumni events such as reunions, homecoming, networking gatherings, and regional meetups.
o Manage event details, including venue bookings, catering, invitations, and promotional materials.
o Assist in coordinating event volunteers and ensuring a seamless experience for attendees.
§ Alumni Engagement & Communications
o Draft and distribute alumni newsletters, event invitations, and social media updates.
o Maintain the alumni section of the school’s website with up-to-date content.
o Assist in identifying and highlighting alumni stories for publications and marketing materials.
- Volunteer & Fundraising Support
o Assist in recruiting, organizing, and supporting alumni volunteers for mentorship programs, reunions, and advisory committees.
o Coordinate logistics for volunteer meetings and initiatives.
o Collaborate with the Advancement Office to support alumni giving campaigns and fundraising efforts.
- Collaboration & Relationship Building
o Serve as a point of contact for alumni inquiries, fostering strong relationships with graduates.
o Work closely with faculty, staff, students, and parent organizations to integrate alumni into the broader school community.
o Support the Director of Alumni Relations in executing long-term alumni engagement strategies.
Key Qualifications
- Bachelor’s degree in communications, marketing, education, or a related field.
- 2 years of experience in alumni relations, development, event planning, or a related field.
- Strong organizational and administrative skills, with attention to detail and the ability to manage multiple tasks simultaneously.
- Experience with CRM/database management and digital communication tools preferred.
- Excellent verbal and written communication skills.
- Ability to work independently while collaborating with various stakeholders.
- Willingness to work evenings and weekends for alumni events as needed.
- Passion for independent school education and alumni engagement.

The St. Paul’s Schools has a compensation scale based on direct years of experience and degree held. Compensation for the role will depend on a number of factors, including a candidates’ years of experience, education and skills. For this opportunity, our salary range is $48,000 - $51,000 annually. Candidates with additional experience or qualifications may be offered a salary outside of the range shown.
