DIRECTOR OF ENROLLMENT

The Director of Enrollment is responsible for leading recruitment and enrollment at St. Petersburg Primary School. This role serves as the public face and first contact of St. Petersburg Primary School, responsible for marketing our school, recruitment process, application and enrollment management, and leadership. The Director of Enrollment is part of the Senior Leadership Team and reports directly to the Head of School.

RESPONSIBILITIES, include but are not limited to:

Marketing and Recruitment

  • Develop and execute marketing plans for the purpose of promoting SPPS’s visibility and general recruitment efforts.
  • Oversee and approve the production of all print materials, ads and social media posts designed for student recruitment.
  • Build enthusiasm and interest in the school among potential families.
  • Conduct open houses, lead tours and other events in accordance with the marketing plan for prospective students and their families and coordinate with other departments for support as needed.
  • Develop and maintain close working relationships with inbound (preschools, early childhood centers) and outbound schools (middle schools).
  • Develop enrollment goals in collaboration with Senior Leadership Team and meet enrollment goals.
  • Develop and monitor statistical reports to enhance recruitment strategies, yielding management, forecasting and operational efficiency.
  • Present the school to prospective families through various events, open houses, and tours.
  • Represent the school at various community events and conferences.
  • Develop and maintain an approved budget to accomplish admissions goals.
  • In collaboration with the Director of Development, develop an alumni database and create alumni events to foster an expanded community that supports the original First Presbyterian Day School as well as SPPS.

Marketing Communications

  • Manage and implement an internal and external school communications plan in collaboration with the senior leadership team.
  • Maintain and update the Bloomz, FACTS and website calendars.
  • Manage the school’s social media presence, posting content relevant for admissions as well as general school marketing.
  • Maintain and update the school’s website.
  • Support the Parent Volunteer Association in their communication about upcoming events.
  • Publish a multipage, glossy, quarterly newsletter highlighting student accomplishments, strategic plans, staff, events, alumni, feature articles, curriculum and programming, etc.
  • Publish the weekly Pelican Post which includes timely information for easy parent reference.
  • Manage and update the master school calendar.

Admissions Management

  • Oversee the Office Manager and Registrar in her duties directly related to the admissions and enrollment process, streamlining systems for maximum efficiency.
  • Maintain FACTS SIS and enrollment management system for all admissions systems, including application, enrollment and data management for school admissions.
  • Work in collaboration with the Finance and Operations Coordinator to update FACTS SIS with all relevant data and maximize its usage to streamline and improve systems.
  • Collaborate with Programming Coordinator for admissions needs related to summer camp, aftercare and mini-camps, overseeing the admissions process to ensure to aligns with the general school admissions process.
  • Manage the pool of applicants to ensure each applicant file is complete, collect all pertinent forms ensuring accuracy and completeness in collaboration with Office Manager and Registrar.
  • Efficiently and systematically evaluate applications for admission and communicate decisions.
  • Manage the re-enrollment of current students for the succeeding year.
  • Maintain and report relevant statistics on all aspects of the admission, re-enrollment, and financial aid programs.
  • Continually evaluate all aspects of the admissions and marketing programs with the goal of maintaining a capacity enrollment of qualified students.
  • Set diversity goals and build strategies to attract a diverse student population.
  • Manage the communication, records, and workflow between admissions and finance to enroll new students. (FACTS)
  • Partner with Senior Leadership Team to streamline processes.

General

  • Maintain a master calendar and workflow for all marketing, recruitment, communication and admissions management.
  • Attend school events to foster relationships with current families and improve retention and recruitment of prospective families.

QUALIFICATIONS

  • BA in Education, Educational Leadership, Marketing/Advertising or related field, required
  • DCF 45 hours, required, and a Staff Credential, preferred
  • Previous admissions experience and/or leadership experience in an educational setting
  • Teaching experience in early childhood or elementary school
  • Excellent computer skills, including Microsoft Office, Excel, PowerPoint, Google Suite, and data entry
  • Familiarity with FACTS and/or proficiency with comparable CRM/data management system
  • Familiarity with Step Up and VPK
  • Understanding of statistics, admissions requirements and procedures, financial aid processes
  • Accuracy, consistency, and attention to detail
  • Strong interpersonal, public speaking, and communication skills.
  • Problem solving, teamwork, project management, and collaboration skills.
  • Demonstrate a risk management mindset, predicting and proactively planning against potential liabilities to programs and people.
  • Ability and willingness to work outside of normal business hours to support periodic school and church events.
  • A demonstrated passion for education and children.
