Society of St. Vincent de Paul (SVdP) Indianapolis is a majority volunteer-supported non-profit that provides services to the unsheltered and individuals and families in need throughout Central and Southern Indiana. Duties and Responsibilities:
Office Management and Administrative Support
- Manage office supplies and inventory, ordering as necessary.
- Assist with scheduling appointments, meetings, and conferences.
- Answer phone calls, respond to emails, and manage correspondence.
- Ensure the office environment is clean, organized, and welcoming.
- Maintain filing systems and ensure documentation is up to date.
- Assist with onboarding new employees and office procedure training.
- Process invoices and track expenses.
- Process credit card receipts and update monthly spreadsheets.
- Liaise with vendors, SVdP volunteers, other external vendors and partners.
- Prepare reports, presentations, and other documents as requested.
- Support logistical tasks needed for successful in-person events such as venue coordination, travel/lodging, catering, AV needs, signage, and event security.
- High school diploma with related post-secondary course work; associate’s or bachelor’s degree in business administration or a related field preferred.
- Proven experience as an office administrator, office assistant, clerk, or similar role. Special events experience is helpful.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic accounting software.
- Excellent verbal communication and professional writing skills.
- Strong organizational and multi-tasking abilities.
- Superior attention to detail and problem-solving aptitude.
- Ability to work independently and as part of a team.
- Professional discretion in working with confidential and sensitive data.
- Valid IN driver’s license and auto insurance. Other duties as assigned.
