Purpose of the position:

Society of St. Vincent de Paul (SVdP) Indianapolis is a majority volunteer-supported non-profit that provides services to the unsheltered and individuals and families in need throughout Central and Southern Indiana. We are seeking a highly organized and motivated Office Coordinator to join our team. The ideal candidate will be responsible for managing day-to-day administrative office operations, providing support to staff and volunteers, while ensuring the smooth operation of the office. This role demands excellent organizational skills, attention to detail, and the ability to work effectively within a team environment.

Duties and Responsibilities:

Office Management and Administrative Support

  • Manage office supplies and inventory, ordering as necessary.
  • Assist with scheduling appointments, meetings, and conferences.
  • Answer phone calls, respond to emails, and manage correspondence.
  • Ensure the office environment is clean, organized, and welcoming.
  • Maintain filing systems and ensure documentation is up to date.
  • Assist with onboarding new employees and office procedure training.

Accounts Payable

  • Process invoices and track expenses.
  • Process credit card receipts and update monthly spreadsheets.

Communication

  • Liaise with vendors, SVdP volunteers, other external vendors and partners.
  • Prepare reports, presentations, and other documents as requested.

Project Coordination

  • Support logistical tasks needed for successful in-person events such as venue coordination, travel/lodging, catering, AV needs, signage, and event security.

Position Requirements:

  • High school diploma with related post-secondary course work; associate’s or bachelor’s degree in business administration or a related field preferred.
  • Proven experience as an office administrator, office assistant, clerk, or similar role. Special events experience is helpful.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic accounting software.
  • Excellent verbal communication and professional writing skills.
  • Strong organizational and multi-tasking abilities.
  • Superior attention to detail and problem-solving aptitude.
  • Ability to work independently and as part of a team.
  • Professional discretion in working with confidential and sensitive data.
  • Valid IN driver’s license and auto insurance. Other duties as assigned.

This is an hourly, FT position (30 hours per week)
