What are the responsibilities and job description for the HSS Training Administrator position at St. Vincent de Paul Society of Lane County?
1. PRIMARY PURPOSE -
Under the direct supervision of the Lead Case Manager, this position is responsible for a dynamic range of responsibilities focusing primarily on training, data quality, and administrative support. Also, will be responsible for overseeing the development, implementation and evaluation of training programs designed to equip staff and volunteers with the skills necessary to provide effective support to individuals experiencing homelessness. The role includes a key focus on ensuring data quality within the Homeless Management Information System (HMIS) operated by Lane County. This position will collaborate with program managers, shelter staff, social workers and external partners to ensure training aligns with best practices and meets the unique needs of the population.
2. ESSENTIAL DUTIES AND RESPONSIBILITIES -
· Training Program Development and Management
- Design and Develop Training Programs:
o Create and update training curricula, materials and resources tailored to the specific needs of homeless services, including crisis intervention, trauma-informed care, conflict resolution, case management, de-escalation, etc….
o Develop specialized training modules for different roles within the organization, including shelter staff, case managers, volunteers, and administrative personnel.
- Training Needs Assessment:
o Conduct regular assessments to identify the training needs of staff and volunteers.
o Analyze feedback and performance data to continuously improve training programs
- Implementation and Coordination:
o Schedule and coordinate training sessions, workshops, and seminars, both in-person and online.,
o Manage the logistics of training events, including venue booking, participant registration and material distribution.
· Monitoring and Evaluation
- Track and Report Training Outcomes:
o Develop and maintain a training database to monitor attendance, completion rates, and participant performance.
o Prepare regular reports on training activities, outcomes and impact, and present these to program managers, and Director.
- Continuous Improvement:
o Solicit and analyze feedback from training participants to identify areas for improvement.
o Regularly review and update training content to ensure it reflects current best practices and legal requirements.
· Collaboration and Communication
- Internal Collaboration:
o Work closely with department heads, program managers, and HR to align training programs with organizational goals and employee development plans.
o Coordinate with shelter supervisors to ensure training schedules accommodate operational needs.
- External Partnerships:
o Establish and maintain relationships with external training providers, consultants and subject matter experts.
o Collaborate with community organizations, government agencies, and other stakeholders to enhance the quality and scope of training programs.
· Data Quality Auditing for HMIS
- HMIS Training and Support:
o Develop and deliver training programs focused on the accurate and consistent use of HMIS.
o Ensure that all staff members understand their roles and responsibilities related to data entry, reporting, and data quality in HMIS.
- Data Quality Monitoring:
o Conduct regular audits of HMIS data to identify and correct errors, inconsistencies, and missing information.
o Provide feedback and retraining as necessary to ensure continuous improvement in data accuracy.
- Compliance and Best Practices:
o Stay updated on HMIS data standards, policies and best practices as established by Lane County and other relevant bodies
o Ensure that training content and organizational practices align with these standards and that all the required documentation is accurately maintained.
· Support and Guidance
- Employee Support:
o Provide one-on-one coaching and support to staff who need additional help with training content or application.
o Act as a resource for staff seeking professional development opportunities beyond the standard training programs.
- Volunteer Training:
o Develop and administer orientation and ongoing training programs for volunteers, ensuring they are prepared to assist with various shelter services and understand the organization’s mission and values.
3. OTHER DUTIES AND RESPONSIBILITIES -
· Maintain adherence to Company policies, safety/ergonomic standards and good housekeeping practices.
· Perform other duties and responsibilities as required.
4. MINIMUM QUALIFICATIONS AND EXPERIENCE -
· Previous experience/education in training and development, organizational development, instructional design, or closely related field which provides the knowledge and abilities necessary to perform the work will qualify.
· Must be able to maintain a high level of professionalism and confidentiality.
· Strong ability to design, develop, and deliver engaging and effective training programs.
· Proficiency in using HMIS or similar data systems, with experience in conducting data quality audits.
· Excellent written and verbal communication skills, with the ability to convey complex information clearly and concisely.
· Strong project management skills, with the ability to manage multiple tasks, set priorities, and meet deadlines.
· Empathy, patience, and the ability to work effectively with diverse groups including individuals experiencing homelessness, staff, volunteers, and external partners.
· Proficiency in using or developing learning management systems (LMS’), Microsoft Office Suite, and other relevant software.
· Ability to think critically and creatively to solve problems and improve training programs.
· Preferred: Training certifications such as Certified Professional in Learning and Performance (CPLP) or similar are a plus and/or certifications in trauma-informed care, mental health first aid, data management, or related areas are desirable.
