ADMINISTRATIVE ASSISTANT
REPORTS TO: DIRECTOR OF EARLY LEARNING
SUPERVISES: N/A
STATUS: REGULAR, FULL-TIME, NON-EXEMPT
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
A key position to ensure a friendly and welcoming environment for children, families, and staff; ensuring that front desk office duties are fulfilled in a timely manner.
· Responsible for greeting and assisting all persons entering SVELC.
· Answer and direct incoming calls.
· Perform regular administrative duties to support Early Learning operations, staff, and contractors.
· Help to ensure children’s security, especially at drop off and pick up, by verifying the identity and authorization of all persons.
· Responsible for coverage of the front lobby functions at opening each day; maintain presence at front desk as the face of SVELC; cover the front lobby functions at closing, as needed.
· Input and digitize child data from appropriate reports and forms.
· Place calls to families, as needed.
· File, organize, and maintain child files according to regulations.
· Receive tuition and other payments; document via financial policies.
· Directly responsible for maintaining and issuing updated emergency contact forms/pick-up list to classroom teachers.
· Maintain a high-level working knowledge with SVELC’s Child Care Management Software (CCMS) and utilize with success; maintain a working knowledge of other SVELC’s electronic information systems and utilize with success.
· Complete forms and accept payments when a child is picked up late.
· Receive deliveries and mail via the front lobby and distribute, as necessary.
· Manage organization’s photography documentation, including file management and adherence to the restricted photograph list of children.
· Familiarize and understand all early learning program policies and procedures.
· Maintain confidentiality.
· Model appropriate professional behavior.
· Maintain and model excellent attendance and punctuality.
· Other duties and responsibilities, as assigned.
EDUCATION, EXPERIENCE, SKILLS
· High School Diploma
· Experience in early education and/or nonprofit organization, strongly preferred
· Ability to utilize technology at a proficient level, required
· Experience working successfully within and/or supporting a team
· Strong time management, communication, and organizational skills
REQUIREMENTS
· While performing the duties of this job, the employee is regularly required to talk, hear, and see, stand, walk, sit, reach with hands and arms, stoop, kneel, and move from standing to sitting on the floor and return to standing.
· Must be able to frequently lift and/or move up to 50 pounds.
· Must pass physical examination, TB screening, and all background checks as required by regulatory authorities.
· Must complete all required onboarding training.
· Must be able to fulfill all requirements as specified by the State of Indiana or NAEYC, as it applies to early learning licensure or best practice.
· Must align practice, duties, and behaviors to follow the Misson, Vision, Values, Philosophy, and Approach of St. Vincent Early Learning Center.
· Must complete Medication/Administration Training
