ACADEMIC COORDINATOR - PROVOST AND ACADEMIC AFFAIRS

Job Summary:

On campus position to provide administrative support within the Office of the Provost to the Associate Provost for Academic Affairs. Support the work of the APC Committees for Assessment, Policy, and Curriculum. Provide administrative support for college-wide assessment, accreditation, and program review processes. Provide administrative and operational support to the Director of the Integrative Core Curriculum (ICC) and Coordinator of Ithaca Seminars (ICSM), and the faculty committees for the ICC/ICSM programs including event planning and organization, semester scheduling, and working with students and faculty on ensuring ICC requirements completion. Process correspondence, organize meetings, manage data and information in a variety of online platforms. Prepare and distribute agendas, attend meetings, take meeting minutes, and provide materials in support of academic committees and special initiatives. 

Supervision:

This position reports to the Associate Provost for Academic Programs and receives direction and guidance from the Director of the ICC and the Coordinator of the ICSM Program. This position has no direct supervisory responsibilities. 

Job Responsibilities:

  1. Provide administrative and operational support for the Associate Provost of Academic Programs to include tracking of curricular changes, and other tasks assigned. Prepare correspondence, reports and other documents, schedule meetings and appointments, and maintain electronic calendars.
  2. Provide administrative and operational support for APC Committees. Prepare and post minutes of actions taken by APC committees. Track and maintain up to date information on academic policy proposals and approvals. Maintain running agenda for curriculum proposals, ensure accuracy of proposal submissions, and manage workflow process in the online curriculum management system. Monitor, maintain, and organize the APC email account, APC project sites, and APC web pages to ensure accurate and up to date information.
  3. Provide administrative support for new program and program revision applications to NYSED, including tracking and updating information in tracking logs. 
  4. Provide administrative and technical support for academic learning assessment, periodic program review, and accreditation. Support data entry in the online assessment system, maintain and update website, coordinate events (including making arrangements for guest speakers), and prepare documentation. Provide logistical and administrative support for Middle States accreditation activities.
  5. Provide administrative and operational support for the Integrative Core Curriculum (ICC), including the ICC curriculum and assessment committee. Serve as a resource to faculty advisors for matters related to the ICC. Support student progress through review of degree evaluations and advising on appropriate resolution of issues related to program completion.
  6. Provide administrative and operational support for the Ithaca Seminar (ICSM) program, including the ICSM coordinator and ICSM steering committee. Coordinate special events and programs as assigned to include speaker engagements, meetings, seminars, workshops, conferences, and special events related to ICC and ICSM. Track ICSM budget and expenses; maintain, update, and edit the project sites and external website for the ICC with current information. Manage assessments and surveys for the programmatic “fourth hour” activities.
  7. Support Associate Provost and academic staff with summer academic onboarding process, including assimilating data and preparing reports, updating website with current information, and registration of students in assigned classes, as needed.
  8. Provide administrative support to other Office of Provost team members as needed, which may include collaborating on event support (e.g., Commencement, Graduate Hooding, Whalen Academic Symposium, Oracle Society, and Phi Kappa Phi), maintaining websites or social media, or providing direction to student employees for additional support in completing administrative tasks.
  9. Participate in special projects and perform additional duties as assigned. 
  10. Develop and demonstrate multicultural awareness and contribute to cultivating an inclusive, diverse and respectful College community. Demonstrate civil and inclusive behavior when interacting with staff, faculty, students and visitors to the College. Promote a flexible, collaborative and inclusive work and living environment and engage in educational opportunities to increase awareness and understanding of diversity and inclusion.

Qualifications: 

Bachelor’s degree and a minimum of two years of previous office experience, or the equivalent combination of education and experience; strong interpersonal and communication skills and the ability to effectively work and interact respectfully within a diverse and inclusive environment; excellent project management and organizational skills; demonstrated experience and skill with word processing, spreadsheet, and database software applications; comfort with learning new academic-related technology and software; ability to multi-task and process sensitive and confidential information; and good attention to detail are required. Previous experience working with information, learning management, or customer relationship management systems in a college or university setting is preferred.

Work Environment: 

Most of the work of the incumbent is carried out within a generally accessible, safe, indoor environment. The incumbent will be required to operate a personal computer and associated equipment such as computer printers and other office equipment used in the day-to-day office operations. The incumbent may be required to deliver or pickup various correspondences or materials from other on-campus locations and must be able to walk, drive, or make alternative transportation arrangements.

This position is 37.5 hours per week, 52 weeks per year.

Hiring Range:

$22 to $24 per hour, commensurate with qualifications and experience.
