CIRCULATION DESK SUPERVISOR

Job Summary: 

Oversee and coordinate circulation activities of the Library Access Services Department during scheduled shifts, including directing and mentoring student employees. Work collaboratively with other Access Services staff to ensure smooth daily operations of the department. Provide leadership in stacks maintenance and student support, including tracing, shelving, shelf-reading, and student employee training. Provide backup assistance to Reserve and/or Interlibrary Loan staff, depending on departmental needs. This is a 2nd shift position; hours are 2 pm – 10 pm, Sunday through Thursday.  During the summer and academic breaks, the position is scheduled for Monday through Friday from 9am-5pm or 10am-6pm depending on Library Hours. 

Job Responsibilities:

Stacks Maintenance

  1. Develop and maintain a re-shelving & shelf-reading strategy/schedule. Coordinate student training on shelving and shelf reading.
  2. Collaborate with Librarian in charge of weeding and library spaces to coordinate shifting projects and future furniture arrangements.
  3. Search for library materials that may be missing, mis-shelved which includes materials that users have claimed returned. Communicate with patrons and prepare reports related to the outcome of library material searches. 
  4. Maintain hold shelf and empty book drops regularly.

Student Supervision

  1. Participate in the interviewing, selection, training, mentoring, and evaluation of student employees who work in Access Services.
  2. Supervise students at the Circulation desk as scheduled. Provide direction, guidance and feedback to student assistants; ensure that an appropriate and consistent level of service is provided to all department patrons. Address disciplinary matters as necessary in collaboration with Access Services Manager.
  3. Assist Access Services Manager with scheduling, developing/maintaining training materials, and organizing training and social events for student employees. 
  4. Oversee student employees in stacks maintenance assignments.

Building Supervision 

  1. Open/Close the library building as scheduled. Ensure security of the collection and safety of library staff and patrons.
  2. Monitor building security during 2nd shift hours which may include checking each floor of the library for security concerns and responding to various building alarms. Participate in Library safety initiatives and practices. 
  3. Inform the Access Services Manager of problems related to policies, procedures, library facility and building security. Provide input on library policies and procedures affecting the Access Services department.

Circulation Supervision

  1. Perform routine desk duties as scheduled to include checking out/returning material, placing recalls/holds, registering patrons and accepting/recording payment for outstanding fines utilizing the library's automated system. Maintain confidentiality of library patrons.
  2. Provide patron assistance with basic operation of printers and scanners, library owned computers and laptops; assist with printer maintenance, order printer supplies as required, assist with other related hardware; report on-going problems requiring service to the Access Services Manager and Information Technology.
  3. Advise users regarding library policy, procedures and related matters. Assist Access Services Manager in resolving questions regarding overdue, lost items, and fines.
  4. Take leadership in the organization and flow of the Circulation Desk area.  Maintain an inventory of and order supplies used in the Access Services Department.  Monitor, organize, and create records for these items as necessary in the Library System. Maintain and inventory the library’s “Library of Things”. 
  5. Assist Access Services Manager in preparing and maintaining statistical information, training materials, policy/procedures documentation and other reports related to stacks and circulation
  6. Assist Access Services Manager to develop departmental policies, procedures, and service enhancements and implement approved service enhancement recommendations.
  7. Monitor and respond to departmental email related to circulation and stacks. 

Other Duties

  1. Serve as designated backup for Reserves processing.  Assist with interlibrary loan as assigned by the Access Services Manager. 
  2. Complete special projects and participate in events, as assigned, to further the strategic priorities of the library and Access Services Department.
  3. Participate in the selection, interviewing, and training of Access Services Department staff.
  4. Attend training sessions related to diversity and inclusion, as recommended by the college.

Qualifications: 

Required: Associate’s degree and a minimum of two years library experience or the equivalent combination of education and experience, strong attention to detail, organizational, interpersonal, and customer service skills; working knowledge of Office 365 apps. Ability to prioritize projects, handle multiple tasks and meet deadlines while working independently and as a member of a team; ability to interact with various constituencies of the College and students.  Preferred: Bachelor’s Degree, experience with stacks maintenance, ALMA Library Management System, Leganto, Canvas, and/or supervisory experience.

Work Environment:

The work of the incumbent is carried out in the library within a safe, indoor environment. The incumbent will be required to operate a personal computer and associated equipment such as computer printers/scanners as well as other office equipment used in day-to-day operations. Hours are Sunday - Thursday 2:00 pm – 10:00 pm; first-shift hours are required during academic breaks and summer hours.  This position may occasionally be asked to cover Fridays/Saturdays when assigned as a backup to other shifts.

This position is 37.5 hours per week, 52 weeks per year.

Hiring Rate:

$18.22 per hour.
