- Review RFP documents and requirements to understand the scope, deliverables, and compliance needs.
- Ensure that proposals meet all legal, technical, and format requirements specified by the RFP.
- Develop a checklist of RFP requirements to ensure full compliance and avoid disqualification due to technicalities.
Proposal Development and Writing
- Write and edit high-quality proposals that effectively address the client's needs, aligning with the specifications in the RFP.
- Develop proposal content, including the executive summary, technical approach, staffing plan, and compliance matrices.
- Customize responses to highlight the company's strengths, experience, and solutions tailored to the specific project or service needs.
Research and Analysis
- Conduct market rates research
- Gather insights from internal subject matter experts, past projects, and client feedback to create a compelling narrative.
Collaboration and Communication
- Coordinate with departments to gather information/data on project requirements, pricing structures, and compliance measures.
- Communicate timelines, deadlines, and content needs clearly to ensure the proposal submission is on schedule.
Project Management
- Manage the end-to-end proposal development process, from the initial RFP analysis through submission.
- Track progress to ensure deadlines are met.
- Monitor trackers to ensure smooth workflow and resolve discrepancies.
Editing and Quality Control
- Conducting a thorough review of each completed bid prepared by a bid writer to ensure accuracy, compliance, and completeness prior to submission.
- Proofread proposals for clarity, grammar, and accuracy, ensuring a high standard of quality.
- Weekly audit of bid mining activities.
Post-Submission Follow-Up
- Track proposal outcomes and obtain feedback from clients on submitted proposals.
- Requesting for debriefing on non-awarded bids
- Document best practices and lessons learned from each RFP to improve future proposals.
Contracts Management
- Track contracts, ensuring accurate records and timely updates.
- Handle post-award contract requirements
- Track assignment contracts
- Review contract terms and conditions as needed, including holiday rates, onboarding language/terms, and other necessary clauses.
- Report new contracts or amendment on contracts to internal stakeholders
- Handle contracts amendment process as necessary
- Address any contracts-related inquiries or requests from client
