A local contractor specializing in residential and commercial swimming pools, spas and water features is looking to hire a Scheduling Assistant for their Plant City office. The Scheduling Assistant will be responsible for handling a high volume of communications in a fast-paced environment, working with various internal teams to ensure the smooth execution of pool installation projects, and supporting the mechanic shop with truck repair and scheduling needs.

What You’ll Be Doing
- Communicate directly with drivers, pool installers, and customers to effectively coordinate pool installation schedules
- Handle incoming calls, providing exceptional customer service and promptly addressing inquiries or scheduling needs
- Maintain ongoing communication with drivers and pool installers to ensure all scheduling adjustments are updated in real-time
- Coordinate with the mechanic shop to schedule truck repairs and vehicle swaps as needed
- Utilize Builder Trend system to accurately track job progress, enter and update job statuses, and upload plans and pictures
- Manage and update installation and inspection lists in Microsoft Excel, ensuring accurate and up-to-date information
- Ensure all administrative tasks related to scheduling are completed by the end of the day
- Communicate the schedule for the following day to drivers and installers, ensuring everyone is fully prepared for the next day’s tasks
- Adapt to the dynamic nature of the job, adjusting schedules and handling last-minute changes as necessary
Who We’re Looking For
- Bilingual (English and Spanish) – must be able to communicate fluently in both languages
- Strong organizational skills and the ability to manage multiple tasks simultaneously
- Familiarity with Microsoft Excel, with the ability to manage and track data effectively
- Ability to quickly learn new software tools, including Builder Trend (training will be provided if necessary)
- Excellent communication skills, with a focus on providing clear, professional interactions
- Ability to be persistent and proactive in obtaining information from drivers and installers
- Flexibility to adjust working hours, including early starts and late stays, as needed
What You Can Expect

- Schedule of Monday – Friday, 8:00am – 5:00pm
