We are excited to partner with our client to identify a polished, detail-oriented Executive Assistant, who will be responsible for comprehensive support to an executive. This dynamic position requires the ability to anticipate needs, think critically, and independently offer solutions to problems with a high level of professionalism and confidentiality.
Job Description
The Executive Assistant provides executive support in a working relationship to a member of the C-suite. The Executive Assistant’s responsibilities include managing calendars, making travel arrangements, preparing expense reports, and maintaining an organized and efficient office. The Executive Assistant has a vital role within the organization as no other team member has as much impact on the productivity of the executive's office.
Responsibilities and Duties
- Provides sophisticated calendar management for the executive while prioritizing inquiries and requests and troubleshooting conflicts. Work closely with the executive to keep them well-informed of upcoming commitments and responsibilities, following up appropriately.
- Communicates directly, and on behalf of the executive, with staff, C-suite leaders, and others on matters related to their programmatic initiatives.
- Provides a bridge for smooth communication between the executive's office and internal departments or external clients, demonstrating leadership to maintain credibility, trust, and support with senior management staff.
- Completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgment letters, personal correspondence, emails, and other tasks that facilitate the executive's ability to lead the company effectively.
- Prioritizes conflicting needs; handles matter expeditiously and proactively, and follows through on projects to successful completion, often with deadline pressures.
- Makes all travel arrangements and plans for all details of such.
- Maintain a presence in the office to effectively communicate necessary information to the executive; must be able to accurately identify what information is “necessary”
- Manages many aspects of the executive’s professional life in an anticipatory manner that meets the expectations of the executive and allows them to focus on corporate productivity.
- Participates as an adjunct member of the Executive Team, including assisting in scheduling meetings and attending meetings.
Qualifications and Skills
- Significant executive support experience, including supporting C-level Executives
- Expert-level written and verbal communication skills
- Exceptional organizational skills and impeccable attention to detail
- Team player with the ability to also be effective independently
- Able to maintain a high level of integrity and discretion in handling confidential information
- Ability to react with appropriate levels of urgency to situations that require rapid response and/or turnaround
- Forward-thinking individual, who actively seeks opportunities and proposes solutions
Education and Experience Requirements
- Strong work tenure: 5 to 10 years of experience supporting C-Level Executives
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat
Onsite three days in Cleveland, two days WFH
Monday-Friday, 8am-5pm with some flexibility
Comp range $90K-$110K
Salary : $90,000 - $110,000
