Overview
We are seeking an Administrative Assistant with exceptional organizational and time management skills. Key Responsibilities:
- Maintain and organize information and filing systems.
- Assist owners in planning corporate meetings and take minutes when necessary.
- Coordinate lunches for owners.
- Help plan company wide events and community events.
- Assist with business seminars and travel arrangements.
- Manage emails, phone calls, and calendars for Hospital Directors.
- Order and manage all office and printer supplies.
- Schedule and oversee equipment repair and maintenance.
- Handle filing, typing, and document management.
- Assist with end-of- reports and documentation.
- Maintain cleanliness and organization of administrative offices.
- Greet and assist vendors and visitors as needed.
- Track and manage petty cash and credit card receipts.
- Organize and obatin monthly expense reports from accountant.
- Obtain and manage financial reports from our accountant.
- Provide administrative support including managing schedules, organizing files, and maintaining office supplies.
- Assist with bookkeeping tasks using, ensuring accurate record-keeping and financial reporting.
- Handle incoming calls and correspondence, acting as a point of contact for clients and vendors.
- Utilize Google Suite for document creation, data entry, and collaboration with team members.
- Proofread documents for accuracy and clarity before distribution.
- Maintain confidentiality while managing sensitive information.
- Perform clerical duties such as filing, data entry, and document management.
Requirements
- Proven experience as an Administrative Assistant or in a similar role.
- Proficiency in Google Suite applications (Docs, Sheets, Drive).
- Familiarity with or similar accounting software is preferred.
- Strong proofreading skills with attention to detail.
- Excellent time management skills to prioritize tasks effectively.
- Ability to work independently as well as part of a team.
- proficiency is a plus but not mandatory.
- High school diploma or equivalent; additional qualifications in office administration are a plus.
