Immediate need for an experienced Office Manager. Responsible for all office related issues including: manages front desk, communication and meeting organization, facility maintenance, event planning, budgeting and expense tracking, and administrative activities by performing the following duties:
This role is 5 days a week on-site
Role Priorities / Responsibilities:
- Routes incoming mail and prepares outgoing mail and correspondence, including e-mail and faxes
- Greets visitors and answers and/or screens telephone calls
- Manages office supplies, equipment, and facilities including budgeting, ordering, and stocking
- Assists in budget planning and expense tracking
- Processes invoices and manages financial records
- Monitors office expenses and recommends cost-saving measures
- Reconcile and prepare monthly expense reports and company credit card accounts
- Prepare check requests as needed
- Facilitates communication within the office and between regional offices
- Prepares reports and presentations as needed
- Organizes and maintains file system, and files correspondence and other records
- Plans and coordinates office events and meetings including office lunches and celebrations
- Maintains office facilities including coordinating maintenance and repairs as needed and ensuring a clean and organized office environment.
- Arranges and coordinates travel schedules and reservations
- Conducts research, and compiles data, and types up statistical reports
- Coordinates and arranges meetings, prepares agendas, reserves, and prepares facilities, and records and transcribes minutes of meetings as needed
- Prepares and initiates company workflow e-forms and other requests
- Handles special and non-routine projects as assigned and assists other executive officers as assigned
Essential Knowledge, Skills, and Abilities:
- Proven experience in office management or similar role
- Familiarity with budgeting and financial management
- Strong verbal communication and interpersonal skills
- Ability to write routine reports and correspondence
- Is detailed-oriented and drives for results
- Ability to successfully navigate in an environment with competing priorities, able to multi-task successfully
- Is customer-oriented in delivery of services
- Proficiency in Microsoft Office Suite applications and advanced in MS Word processing
Education or Certification required (if applicable):
- Five years related experience and/or training; or equivalent combination of education and experience
- Stallion is a drug free workplace and a criminal background screen and drug and alcohol screen is required
