Human Resources Specialist
Seeking Full-Time Human Resources Specialist to join the Stan Houston Equipment Company team at our Sioux Falls location. Status is Exempt/Salaried with a typical schedule of Monday through Friday during normal business hours.
SUMMARY: The Human Resources Specialist is a strategic partner who oversees the human resource functions within all Stan Houston locations, including recruiting, selection, compensation, benefits, and compliance with state and federal policies, regulations and laws related to employment. This individual works closely with Branch Managers on performance related issues and with employees on personnel and benefit issues.
Responsibilities/Essential Functions include:
Selection Process
- Recruiting: review open positions with Branch Managers; identify job responsibilities and job qualifications; update job descriptions; post openings and job scripts on online job boards
- Applicant Screening: set up and maintain applicant files; receive and review applications; select applicants for phone and in-person interviews; administer any pre-employment testing; set-up and facilitate second interviews
- Hiring: develop, approve and extend job offers; document offers and acceptance; prepare new-hire paperwork / set up personnel file
- Orientation: review job description and responsibilities; complete onboarding/new hire paperwork
Employee Development and Management
- Performance Management: assist managers with performance evaluations and feedback; assist with maintaining positive employee relations; assist with employee relations, communications and relationships; provide practical and relevant performance evaluation forms; assist with any performance management, discipline and termination needs; conducts exit interviews
- Employee Relations: serves as an advocate for employees; develops and implements policies and programs that motivate staff and improve employee morale; establishes and communicates recommendations for counseling, disciplining and terminating employees?
Payroll & Benefits Reconciliation
- Payroll: assist in payroll processing; review and validate time cards with Branch Managers; conducts annual W-2 verification and distribution
- Benefits Reconciliation: review and compare benefits carrier invoice data to employee enrollment with the payroll system to identify discrepancies that may exist
Compensation and Benefits
- Compensation: assist management with communications of compensation practices
- Benefits Administration: manages employee benefits including communication, coordination and processing of annual open enrollment activities and for newly eligible employees; make recommendations to management regarding benefits; solicit quotes and work with vendors to enhance benefits; work with brokers with employee benefit updates and special enrollments; monitors state and federal legislation affecting employer-sponsored benefits and ensures compliance with COBRA, HIPAA, ERISA and other federal and state programs; maintains ACA reporting and distribution
Files and Documentation
- Manage and maintain the HRIS (ADP)
- Maintain employee files: applications, employment files, benefit files, confidential information files; I-9 forms; W-2 forms; driver medical cards and all related information
- Maintain accurate and up-to-date job descriptions
- Assist managers in creating performance related documentation as needed
- Create reports as requested?
Safety
- Administrates worker’s compensation program; completes and files FROI and maintains OSHA logs
- Act as a liaison with worker compensation and other TPAs
Compliance
- Responsible for accurate and thorough employee information in personnel files and in HR software for active and terminated employees
- Functions as a regulatory expert and takes proactive steps to ensure compliance with federal and state laws, regulations for all locations (SD, IA and NE)
- Assist Management with developing, updating and interpreting Company employment policies and procedures; maintains employee handbook
- Work with employees to familiarize them with policies and procedures
OTHER FUNCTIONS:
- Perform other duties, projects and tasks required/directed
Qualifications & Requirements:
Education and Work Experience
- BA/BS in Human Resources, Business, or related field required (or equivalent experience)
- Five to seven years of human resource experience is required
Skills, Knowledge and Abilities
- Strong HR knowledge with familiarity with South Dakota, Iowa and Nebraska employment laws
- Excellent written and verbal communication skills
- Proficient computer knowledge, experience with Microsoft Office and HRIS systems (ADP a plus)
- Excellent organizational skills, as well as creativity and problem-solving skills
- Strong interpersonal skills, with the ability to adapt to various situations and people
- Able to juggle multiple tasks and responsibilities well
- Flexibility in hours to service the needs of the company
- Capable of maintaining a high level of confidentiality and professionalism
Physical Capabilities Required
- Must be able to lift up to 25 pounds at a time.
- Normal office environment; generally sedentary
- Job includes reaching, standing, walking, talking and hearing; moderate amounts of grasping, fingering and repetitive motion
- Must have a sufficient visual acuity to determine accuracy, neatness and thoroughness of work
- Planned minimal travel will be necessary
