GENERAL STATEMENT OF JOB
We are seeking a highly organized and reliable Office Manager to join our team at Stancil with our Commercial team. The ideal candidate will possess excellent office management skills and have a basic understanding of project accounting. This position will require you to oversee day-to-day office operations while providing support for the financial aspects of various construction projects. The Office Manager will work closely with project managers, field teams, and leadership to ensure smooth operations across the company.

ESSENTIAL JOB FUNCTIONS
- Assist in supervising daily operations of organization.
- Manage office supplies, inventory, and order replenishments as needed.
- Coordinate office meetings, schedule appointments, and assist in managing calendars for leadership.
- Foster positive relationships with clients, vendors, and subcontractors
- Provide general administrative support to the leadership team as needed.
- Serve as the point of contact for general inquiries, addressing concerns and assisting.
- Maintain accurate records of project documentation, including contracts, change orders
- Assist with basic project accounting tasks, including invoicing, tracking costs, and managing purchase orders.
- Work with the project management team to ensure timely and accurate billing of completed work.
- Monitor project budgets and expenses, providing status updates to project managers and leadership.
- Assist in reviewing subcontractor and vendor invoices to ensure proper documentation and approval.
- Prepare reports and financial documentation related to project performance and cost analysis.
EDUCATION, EXPERIENCE AND TRAINING
- Proven experience as an Office Manager, Administrative Assistant, or similar role; experience in the construction industry, particularly on the trade side, is a plus.
- Basic knowledge of project accounting principles and practices.
- High school diploma or equivalent required, bachelor’s degree preferred.
- Experience in scheduling preferred but not required.
- Experience with accounting software (QuickBooks, Procore, or similar) is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).

MENTAL AND PHYSICAL REQUIREMENTS
