We are seeking a highly organized and proactive Administrative Assistant to support senior management and ensure smooth daily operations. The ideal candidate will be skilled in email and calendar management, communication with executive assistants, and digital file organization. Responsibilities
Manage the SVP's email inbox, bringing critical matters to their attention and responding on their behalf.
Organize and prioritize emails, create folders for easy searchability, and ensure timely review of incoming messages.
Coordinate and manage a dynamic calendar, scheduling internal meetings, conference calls, vendor appointments, and other ad hoc tasks.
Assist with executive travel arrangements, including booking flights, accommodations, and coordinating other travel-related logistics.
Maintain and update a supplier / vendor database, ensuring timely contract renewals and managing expiration dates. Qualifications
Previous experience as an Executive Assistant or supporting executive-level personnel.
Strong project management experience.
Experience in the travel industry is highly desirable.
Proficiency in managing schedules and organizing digital files.
Flexibility and the ability to adapt to changing priorities.
Strong multitasking and prioritization skills with high efficiency.
Excellent organizational skills with attention to detail.
Expertise in calendar management, particularly in fast-paced environments.
Strong articulation, good grammar, and effective communication skills, especially when corresponding with senior management.
Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint).
Ability to create efficient processes and organize digital files in OneDrive and email inboxes for easy tracking and documentation. Additional Details
The base range for this contract position is $18 - $26 / per hour, depending on experience.
Our pay ranges are determined by role, level, and location. The range displayed on each job posting reflects the minimum and maximum target for new hires of this position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training. Qualified applicants with arrest or conviction records will be considered.
