Job Summary:

The Staff Administrator will provide comprehensive administrative support and assistance to members of SCI’s executive leadership team to include Directors and key managers. Task will include managing calendars, inputting CRM information, coordinating meetings, and facilitating effective communications both internal and external.

Duties/Responsibilities

  • Manage and prioritize complex calendars, schedule meetings, and coordinate travel arrangements for executives.
  • Prepare and distribute correspondence, including letters, memos, invoices, reports, and presentations, for senior staff.
  • Attend meetings, record minutes, and follow up on action items as needed.
  • Receive, review, and prioritize incoming communications, determining their importance and routing to appropriate personnel.
  • Manage office operations, including maintaining organized filing systems (both physical and digital), ordering supplies, and processing expense reports.
  • Work in CRM to update records and actions required
  • Undertake other duties and responsibilities as required to support the executive team.

Required Skills/Abilities:

  • Excellent verbal and written communication, organizational, and time-management skills with a proven ability to meet deadlines.
  • Demonstrated ability to handle sensitive information with the utmost discretion and maintain confidentiality.
  • Ability to adapt to changing priorities, manage multiple tasks simultaneously, and thrive in a fast-paced environment.
  • Expert-level skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn new software quickly. Experience in Mac’s a plus!
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Ability to type a minimum of 50 words per minute.

Education And Experience

  • High school diploma required; Associates degree in Business Administration or a related field preferred, or equivalent combination of education and experience.
  • A minimum of two years of related experience in an administrative role (e.g., administrative assistant, office manager).

Physical Requirements

  • Prolonged periods of sitting and computer use, with repetitive hand and wrist movements.
  • Must be able to lift up to 15 pounds at times.
