Job Summary
We’re looking for an organized and proactive Bookkeeper & Operational Support Specialist to join our team. In this role, you’ll play a crucial part in managing our invoicing, maintaining customer data, and supporting smooth operations.
Key Responsibilities
Bookkeeping & Contract Management
- · Oversee all aspects of bookkeeping, including maintaining hundreds of contracts and customer profiles. We have a number of tools that sync data back and forth.
- · Manage the invoicing process and ensure that billing is accurate, timely, and consistent with customer contracts.
- · Work with vendors to troubleshoot and resolve any integration issues with our accounting and invoicing systems.
- · Assist with bill collection for recurring customers who are typically eager to settle their invoices.
Data Management & Reporting
- · Review and organize service tickets, ensuring accurate information is tracked and reported.
- · Keep our customer database clean, updated, and populated with the latest contact information, work-in-progress statuses, and quotes.
- · Prioritize service tickets that fall outside our SLA guidelines, working with our automated systems to escalate issues appropriately.
Operational Support
- · Assist technicians with various tasks as needed, helping to streamline workflows and support the team.
- · Perform small, day-to-day tasks around the office to maintain an organized and welcoming environment (e.g., picking up mail, restocking supplies, or tidying up common areas).
- · Help ensure all team members have what they need to succeed, contributing to a positive and productive workplace culture.
Requirements
- · Proven experience in bookkeeping, accounting, or a related field.
- · Strong technical skills with a willingness and ability to learn new software quickly.
- · Exceptional organizational skills with high attention to detail.
- · Strong interpersonal skills for working with vendors, customers, and internal team members.
- · Ability to handle and prioritize multiple tasks and maintain a positive attitude in a fast-paced environment.
Preferred Qualifications
- · Experience with CRM and accounting software, familiarity with service ticket management tools like connectwise, syncro or HaloPSA.
- · Background in customer service or service-oriented roles.
- · Ability to work independently and proactively contribute to team goals.
- · Must be very technically minded.
Job Types: Full-time, Part-time, Contract
Pay: $17.62 - $18.72 per hour
Expected hours: 30 – 40 per week
