Under the supervision of the AR/Payroll Accountant, the Payroll and Accounting Assistant is responsible for assisting with the company's payroll processing. Additionally, this role supports the AR Accountant with tasks such as collections, credit references, and credit checks. This position does not have any supervisory responsibilities.
Supervisory Responsibilities:
Duties/Responsibilities:
- Accurately process multi-state payroll in compliance with company policies and applicable regulations.
- Calculate employee wages, 401(k) contributions, medical insurance, and FSA deductions.
- Review timesheets, attendance records, payroll reports prepared by the payroll service, and other reports for completeness and accuracy.
- Prepare payroll journal entries in a timely manner.
- Calculate accrued vacation and record vacation accrual journal entries.
- Update employee information and maintain the HR database.
- Promptly and professionally address payroll-related inquiries from employees and management.
- Ensure compliance with federal, state, and local payroll tax regulations.
- Collaborate with HR and finance teams to resolve payroll discrepancies and implement process improvements.
- Maintain confidentiality of payroll information and adhere to data protection policies.
- Assist Accounts Receivable with collections, credit references, and credit checks.
- Assist in special and ad hoc projects as needed.
Qualifications:
- Proven experience as a Payroll Specialist or in a similar role, handling full-cycle payroll processing.
- Strong understanding of payroll regulations, tax laws, and compliance requirements.
- Experience using Intuit Payroll.
- Multi-state payroll experience.
- Proficiency in Microsoft Office Suite, especially Excel and Outlook.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Authorization to work in the United States.
- Experience with BambooHR is a plus.
- Multilingual skills in Chinese and/or Spanish are a plus.
Education and Experience:
- Bachelor’s degree in accounting, Finance, or a related field.
- 5 years of experience in Accounting, Payroll, and/or Human Resources.
Physical Requirements:
- Ability to navigate office environments; requires sitting for extended periods.
- Effective verbal and written communication skills; includes regular presentations and active participation in meetings.
- Must be able to handle multiple tasks simultaneously in a fast-paced environment, with excellent organizational and prioritization skills.
