Job Overview:
The Administrative Assistant is responsible for performing data entry of shipped and received orders, responding to phone calls and emails and other inquiries, and other office related duties. The position will spend 100% of time in office related duties.
Key Responsibilities:
1. Enter all new orders received into the computer system.
2. Enter all information into the computer system for orders shipped.
3. Check-in drivers based on serial number of load number.
4. Guide drivers through the loading process.
5. Prepare shipping documents for all shipments leaving out of the releasing yard.
6. Generate, print and send daily/weekly reports to appropriate personnel on a timely basis.
7. Answer phones and respond to questions and requested information.
8. Provide requested information to dealers, carriers and personnel.
9. Type letters, memos and various correspondence as needed.
10. Prepare label information for necessary products shipped by the releasing yard.
11. Perform periodic inventory checks to ensure physical inventory of tractors, tires and parts match the inventory in the computer system.
12. Report any broken or missing equipment to supervisor.

Qualification - Education and Experience
1. High School Diploma or Equivalent.
2. Must have general office experience usually gained through 1-2 years of formal training and/or experience in a related field.
3. Must have excellent phone etiquette, general clerical and organizational skills.
4. Must have the ability to operate basic office machines include telephone, copier, 10-key, and personal computer.
5. Must be proficient in handling difficult customer situations, responding to customer needs for service and assistance, and meeting commitments.
6. Must be proficient in working on the Internet and computer programs; experience with Microsoft Office (Word, Excel, and Outlook) required.
7. Excellent communication skills (written, listening and verbal).
8. Must be self-motivated, able to multi-task and work independently
9. Must be a team player, amenable to a variety of work projects.
10. Must be able to maintain a high level of confidentiality.
11. Willing and able to travel occasionally, including overnight travel.
Job Type: Full-time
Pay: $22.00 - $24.00 per hour
