What are the responsibilities and job description for the Criminal History Records Manager-Tribal Court position at Standing Rock Sioux Tribe?
SCOPE OF WORK:
The Criminal History Records Manager will serve as the primary contact person for the criminal history records information and background checks requests in accordance with established policy and procedures of the Standing Rock Tribal Court.
SUPERVISION:
The Criminal History Records Manager will be under the direct supervision of the Court Administrator, whom will provide guidance, direction and conduct performance evaluations.
DUTIES AND RESPONSIBILITIES:
- Will be the responsible to compile confidential information necessary for criminal history records information and background checks requests for the Standing Rock Tribal Court.
- Will be responsible to ensure protection, privacy and confidentiality of sensitive Tribal Court Records management systems and files.
- Will be responsible to assist in development, implementation and enforcement of policy and procedures regarding criminal history/background check file management system and in accordance with SRST Records & Files Disposition Manual.
- Will be responsible to assist with completion of requests for criminal history information and background checks to ensure accuracy of information and obtain authorizations for release of information.
- Will be responsible to continuously update criminal history information to ensure current and accurate information is provided.
- Will be responsible to maintain statistical data of Tribal Court criminal history/background checks requested and completed.
- Responsible for conducting inventory and categorization of criminal history records i.e. (vital, important, useful and nonessential).
- Will be responsible to assist in the issuance of receipt for fines and costs payments collected and accurately record amount of payment received.
- Will be responsible to update and maintain records for authorized Attorneys, Lawyers and Advocates practicing in the Standing Rock Tribal Court system and track fees due and collected.
- Will be responsible to submit required monthly, quarterly and annual activity reports to the Court Administrator as required.
QUALIFICATIONS:
- Must have two year degree in business or office related field. A high school diploma and equivalent work experience in office practices such as; alphabetical and tab filing systems, indexing, cross-reference methods will be considered in lieu of a degree.
- Must be computer literate with experience in Microsoft Word, Excel and Access.
- Must have knowledge of electronic file storage software and file management systems.
- Must have working knowledge and experience of commonly used office equipment such as; copier, fax, scanner, shredder.
- Must be able to understand and carry out both verbal and written instructions and request clarification when needed.
- Must possess a strong work ethic and organizational skills with special attention to detail and ability to operate under pressure and stress.
- Must possess excellent customer service skills and demonstrate professionalism; maintain tact, courtesy, composure and flexibility when dealing with a variety of personalities.
- Must practice and enforce confidentiality regarding Tribal Court records.
- Must have valid driver’s license and pass a public trust background check (never have been convicted of a Tribal, State or Federal felony).
JOB REQUIREMENTS:
- Will be required to become familiar with policy and procedures of conducting criminal history/background checks.
- Will be required to become knowledgeable with compiling criminal history data and release of information procedures.
- Will be required to attend training to stay abreast of new and effective records management methods and techniques.
- Must be able to provide clear explanation of Tribal Court records policy and procedures.
- Will be required to sign and strictly adhere to Confidentiality Statement and Code of Ethics as established by the Standing Rock Tribal Court.
- Will be required to develop an audit schedule for records on a quarterly basis to identify records life cycle that includes; creation, use, maintenance, retention and disposition.
- Will be required to implement and maintain an organized electronic and hard copy file system that includes; electronically storing, retrieving records and scheduling maintenance of electronic system to ensure efficient operation.
- Will be required to perform duties outside scope of position as deemed necessary and/or assigned.
