What are the responsibilities and job description for the Inventory Control Assistant-Food Distribution position at Standing Rock Sioux Tribe?
SCOPE OF POSITION:
The Inventory Control Assistant will be responsible for providing support in the accurate accounting of inventory including receiving, processing, recording and distributing foods and produce; performs a variety of clerical duties including data entry and maintenance of files and records in accordance with the standard operating procedures and Sygnal Partners (SP) associated with issuance, distribution and inventory control of all food and produce items offered by the Food Distribution Program.
SUPERVISION:
The Inventory Control Assistant will work under the supervision of the Food Distribution, Director who will provide guidance, direction and conduct performance evaluations.
DUTIES AND RESPONSIBILITIES:
- Assist in maintaining accurate accounting of inventory of received, processed, record and distribution of foods and produce.
- Perform data entry regarding issuance, distribution and inventory control tasks in SP computer system.
- Assist with coordination with certification staff regularly regarding information updates or changes that may affect eligibility and distribution process for participants.
- Communicate directly with participants regarding food orders (foods available, food choices, guide rates, selection of foods, exchanges/substitutions) for processing.
- Request technical assistance regarding SP issues and updates.
- Assist in the monitoring of food and produce inventory and assist in the placement of orders for additional inventory.
- Assist in the calculation and inspection of quality, shortage or discrepancies of all incoming foods and produce.
- Assist in documenting and reporting food and produce that are damaged, poor quality, out-of-date, shortage or discrepancies to appropriate contacts.
- Assist in the preparation and coordination of all truck load lists, equipment, and files for off-site distributions.
- Assist in maintaining, updating and completing files, documents and records (participants; distribution invoices; incoming food receipts) required for FNS/USDA monitoring and audits.
- Assist with coordinating monthly physical inventory and complete reports of monthly activities.
QUALIFICATIONS:
- High school diploma/GED with one (1) year’s work experience in data entry, product identification, handling and storage procedures, planning and tracking receivables and deliverables.
- Computer literate with proficient data entry skills.
3. Competent in general office functions and efficient in office equipment (copier, fax, printer, scanner and telephone) operation.
- Excellent math and calculation skills.
- Solid verbal and written communication skills.
- Exceptional organization and contingency planning skills.
7. Customer service and professionalism; maintain tact, courtesy, composure and flexibility when dealing with a variety of personalities.
- Possess and maintain a valid driver’s license and meet insurability requirements.
9. Must pass required public trust background check.
JOB REQUIREMENTS:
1. Thorough knowledge of inventory/stock control and shipping/receiving practices.
2. Knowledge of AIS Computer system; demonstrate efficiency in computerized inventory accounting software and learn new software applications.
3. Ability to complete and maintain accurate records; daily, weekly and monthly records.
4. Ability to work with co-workers, public and vendors.
5. Ability to understand written guidance, regulation and policy; self-motivated with initiative to perform tasks with little supervision.
6. Demonstrate good customer service in greeting the public seeking services and/or information in a respectful and tactful manner.
7. Strong work ethic, organizational skills, ability to multi-task, and capability to perform under demanding and stressful conditions.
8. Understand verbal and written instructions and request clarification when needed.
9. Attend training on SP when necessary.
10. Perform tasks in warehousing and distribution when the need arises; heavy lifting, standing, walking, moving, climbing, carrying, bending, kneeling, crawling, reaching, and handling, pushing, and pulling; physically intensive tasks and in adverse conditions.
11. Expected to work beyond normal tour of duty (holidays, administrative leave) to assist with food and produce item receivables.
12. Obtain physical examination to ensure physical fit to complete tasks associated.
