Position Profile: The Standley Systems’ Sales Admin will provide administrative support to the Standley Systems Sales Department and the Technology Portal. The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. The ability to interact with staff and departments (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role. This position will report directly to Director of Admin Operations.
Primary Responsibilities:
- Assist Sales Teams with day-to-day activities.
- Reviewing Sales documentation-Sales Admin Review, Contracts Review, Rejections
- Process DocuSign requests
- Lease Coordination-Work with financial partners on Credit and Buyout review
- CRM – Account reassignment and other duties as requested
- Business Technology Review preparation for Sales Department
- Gather & report weekly L10 metrics & assist with facilitating L10 meetings.
- Assist with all aspects of reporting, to include Forecasting, Dynamics, MIF, E-auto lists.
- Assist Directors with New Hire preparations. Technology is in place, work area is clean, supplies ready, welcome packets prepared, assisting with scheduling trainings and keeping detailed schedule.
- Assist with all aspects of projects, accounts, quarterly reviews, and bids.
- Assist sales reps with client information requests from Dynamics / E-auto & related sources.
- Sales Scorekeeper administrator
- Coordinate / research / approve lead payouts
- Assist Sales Department with paperwork questions
- In charge of implementing all office procedures, including conference room meeting policy, demo lunch process, inter-office mail system, emergency evacuation plans.
- Meetings, Events & Portal:

- Schedule & coordinate all meetings in the Portal including verifying availability on Portal calendar.
- Schedule & coordinate all internal meetings and ensure refreshments and room is made ready for event (set up and breakdown with help from team).
- Coordinate Catering, snacks & drinks according to guidelines while making sure stock for needed items is organized and available.
- Coordinate manpower needs at onsite events & assist with assignments day of event.
- Assist with keeping portal & office stocked with paper goods and office supplies.
- Assist with sales meeting related planning.
- Assist Marketing Coordinator with customer-related event planning.
- Assist with BIG FRED
- Assist with Spirit Week
- Additional Responsibilities:
- Provide office front door coverage.
- Facilities maintenance: full office organization, cleanliness, reporting maintenance needs to Chickasha, and communicating with cleaning crew.
- Perform general clerical duties to include photocopying, faxing, mailing, and filing.
- Assist Contracts with projects
- Help with toner requests from Supplies including toner inventory
- Other duties as assigned by Team Lead or Manager
