What are the responsibilities and job description for the Golf Course Marketing and Events Assistant (Part-Time) position at Stanford Athletics?
We are seeking a motivated and detail-oriented Part-Time Marketing and Events Coordinator to join our team at Stanford Golf Course. The successful candidate will play a key role in supporting the marketing and events initiatives that help promote the course and enhance the guest experience. This is a great opportunity for someone with a passion for golf and event management, who is looking for a flexible, part-time role. This position would be under the supervision of the Assistant Golf Professional/Event Manager.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Event Coordination: Assist in planning, coordinating, and executing a variety of events, including golf tournaments, corporate outings, charity events, restaurant events, and member functions. Attend meetings and act as a second point of contact to all user groups.
- Marketing Support: Assist in creating and distributing marketing materials (email newsletters, social media content, flyers, etc.) to promote events and services.
- Social Media & Website Management: Help maintain and update the golf course’s social media profiles and website with event announcements, promotional content, and engaging posts.
- Customer Engagement: Serve as a point of contact for event inquiries and provide excellent customer service to ensure positive experiences for event participants.
- Event Logistics: Help with on-site event setup and breakdown, coordinate vendor relationships, manage event registrations, and assist with special requests from guests.
- Reporting and Administration: Track event attendance, assist with budgeting, and prepare post-event reports. Maintain event databases and help with other administrative tasks as needed.
- Promotions & Partnerships: Work with the marketing team to identify partnership opportunities, sponsorships, and promotional activities that will drive business to the golf course.

REQUIREMENTS:
- Dedicated to providing both members and guests a first-class golfing experience
- A team-first player capable of multi-tasking and working in a fast-paced environment
- 1-2 years of related experience (event planning) and/or training, or an equivalent combination of education and experience
- Customer/client service experience
- Strong verbal and written communication skills, including the ability to compose professional and grammatically accurate emails to guests and vendors
- Professional appearance with strong communication and character traits
- Experience in Golf Genius software is suggested
- Experience in project management tools (ClickUp, Monday.com, Asana, etc)
- Organized, detail-oriented and able to multitask
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and social media platforms (Facebook, Instagram, LinkedIn). Experience with email marketing platforms and event management software is a plus
- Must be able to stand for long periods
- Must be able to lift 25 pounds
- Must be able to work weekends and holidays, early and late hours

The expected pay range for this position is $25-$35 per hour. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
Hours Policy:
Approximately 15-20 hours a week depending on the season. Days/times dependent on event days/times. Must be available most Mondays during the months of April - September.
Maximum 980 hours per year, no more than 8 hours per day, 6 consecutive days or 40 hours per week. Workers must use Axess program to record hours worked, inaccurate input of hours will result in disciplinary action. High School students are restricted to 15 hours/week during the school year and 40 hours/week in a non-school week.
Overtime policy:
Overtime must be approved by the manager, worker may not arrange to cover another shift resulting in overtime.
Benefits:
- Worker may use the range except when the range is busy. Range balls will be given at no charge and employees can hit off of the mats. Range balls are for employees only.
- Worker may play once per week during designated time slots. May bring up to 3 guests for half price
- Merchandise may be purchased or special ordered at discounted rates through Assistant Manager
Play Policy – Contingent Staff (less than 20 hours per week)
Tuesday through Thursday
- One time per week
- May play after 10 AM (determined by golf shop staff)
- May bring up to 3 paid guests. 9 hole rate ($65). May change based on current circumstances
- In the rare event that a member would want a time that an employee was occupying, the member would get the time and the employee would get the next available time.
Weekends & Holidays
- No play
Reservations
- Call in time is 3:30 pm the day prior to play.
- Employees and volunteers may call on Sunday for a Tuesday tee time.
