About the Position
SJW is seeking Operations Coordinators to join the Operations Team in ensuring the smooth operation of the Stanford Jazz Festival. This team involves overseeing multiple facets of event logistics, including hospitality, ticketing, merchandise, and patron services. This is a part-time, seasonal position based on the Stanford University campus, running from mid-June through August 1, with flexible hours that align with event schedules.
This position reports to the Director of Program Operations.
Key Responsibilities
- Hospitality and Event Coordination:
- Assist with hospitality services for festival events, including managing catering, guest services, artist green room setups, and event breakdowns.
- Maintain inventory, track expenses, and procure supplies needed for festival operations.
- Ensure compliance with food handling regulations and maintain a clean and sanitary environment.
- Assist in managing dietary restrictions and provide overall support for artists and guests.
- Box Office Operations:
- Manage ticketing functions using the festival's ticketing system, including processing orders, handling will call distribution, and assisting patrons with ticketing inquiries.
- Collaborate with marketing to process comp ticket requests and manage member ticketing benefits.
- Assist with group sales and general customer service duties during events.
- Merchandise Sales and Inventory:
- Organize and maintain festival merchandise inventory, ensuring that stock is ready for sale at all times.
- Set up and manage the merchandise booth, including payment processing and providing customer service.
- Assist with merchandise sales during events and track inventory levels.
- Prepare sales reports and ensure proper documentation, including obtaining necessary artist signatures for merchandise.
- Patron Engagement and Event Support:
- Provide excellent customer service to patrons, including handling inquiries, providing event details, and addressing concerns as they arise.
- Assist with the setup, operation, and cleanup of festival events.
- Provide event support as needed, ensuring that all areas of the festival are running smoothly.
Qualifications
- Prior experience in hospitality, customer service, ticketing, or sales is preferred.
- Strong organizational and multitasking skills with the ability to prioritize effectively.
- Excellent communication skills, both verbal and written.
- Ability to interact with diverse groups, including artists, patrons, and event staff.
- Comfort with using technology and ticketing systems.
- Ability to lift and carry up to 25 pounds.
- A valid driver’s license and access to a car for procurement of supplies is preferred but not required.
- California Food Handler’s permit (or willingness to obtain one).
Compensation
- $18 - $24 per hour, depending on experience.
Hours
- This position requires a commitment to event days from mid-June to August 1, with typical working hours from 4:30 p.m. to 9:30 p.m. on concert days, as well as occasional late-night hours for specific events. Hours are subject to adjustment.
